Purpose StatementThe job of Office Assistant – Secondary is done for the purpose of providing clerical support to assigned school site personnel; communicating information to staff and the public; providing complete and accurate records; and providing information and/or direction as may be requested.
Essential Functions- Assists with processing documents, forms, mailings, and materials (e.g. attendance, enrollments) for dissemination to appropriate parties
- Distributes materials (e.g. mail, supplies, messages, bus passes) for delivery to addressee
- Maintains manual and electronic document files and records for up-to-date information and reference
- Manages lockers (assignment, etc.) for control of lockers
- Monitors students referred for illness or disciplinary action for student welfare and safety
- Prepares standardized documents (e.g. letters, memos, calendars) for communication
- Provides support services to administrative and support personnel (principals, counselors, etc.)
- Screens and monitors all school visitors for safety
- Performs other related duties as assigned (backup to Health Room, phones, copier support) to ensure efficient operations
Minimum Qualifications Skills, Knowledge, and Abilities
SKILLS:
operating standard office equipment; using pertinent software applications; and maintaining accurate records.
KNOWLEDGE: basic math; understand procedures; write routine documents; speak clearly; understand multi-step instructions; grammar, punctuation; office machines; safety practices.
ABILITY: schedule activities, collate data; work with others; handle data and equipment; adapt to changing priorities; attention to detail.
ResponsibilityResponsibilities include working under direct supervision using standardized routines; providing information and/or advising others; and operating within a defined budget. Some resources from other units may be used. There is opportunity to affect the organization’s services.
Work EnvironmentThe job requires physical tasks including lifting and movement, generally 80% sitting, 10% walking, 10% standing. May assist in Health Room as back-up.
Experience: Job-related experience is not required.
Education (Minimum): High school diploma or equivalent.
