PositionSummary
The Office Clerk supports the Transportation Manager and the Transportation Department by performing a variety of clerical and administrative duties. This role requires strong collaboration and communication with department personnel to ensure daily operational tasks are completed efficiently and accurately.
Although the position is primarily administrative in nature, cross-training within the department is expected to ensure coverage when needed. Cross-training also supports professional growth and enhances overall departmental effectiveness.
Essential Functions- Answer and direct incoming phone calls
- Train in and utilize Prophesy and SAP systems
- Assist with collections and carrier payment issues
- Monitor and order office supplies (PO required for approval)
- Reconcile billing files weekly
- Create requisitions for purchase orders
- Provide brokers and customers with Proof of Delivery (POD) documentation
- Track company trucks daily
- Perform data entry of load and customer information
- Process billing (scan, email, and mail invoices)
- Enter shipments into the Prophesy system
- File truck and trailer write-ups
- Monitor and restock driver supplies
- Track, trace, and update shipment status
- Engage with vendors and drivers
- Assist with resolving shipment or payment discrepancies
- Support production or plant activities as needed
- Perform other duties as assigned by management
- Ability to lift up to 20 lbs
- Ability to hear and speak clearly on the telephone
- Ability to work under pressure in a fast-paced environment
- Ability to move throughout the plant and assist with operational activities when necessary
- Energetic self-starter with strong organizational skills
- Proficient in Microsoft Office (Word, Excel)
- Ability to learn transportation/shipping software systems
- Willingness to participate in company-provided training
- Willingness to work evenings or overtime if required
- Willingness to travel overnight if required
- Ability to receive constructive feedback and maintain professionalism
- Strong commitment to customer service, teamwork, and quality standards
