FINANCE SUPPORT COORDINATOR

DESCRIPTION
Provides comprehensive support to Finance Department leadership by collecting data and preparing budget amendments, budget-to-actual reports, and presentations. Coordinates meetings and communications between interdepartmental staff, external agencies, and other stakeholders involved in municipal initiatives and contracts. Reviews and analyzes data to create reports, charts, annual budgets, and materials for City Council or board presentations utilizing word processing, spreadsheet, and financial ERP software.
Uses databases and other tools to collect and manage public financial data.
ESSENTIAL FUNCTIONS
- Collect, compile, and analyze financial and operational data to support budget development, budget amendments, and budget-to-actual reporting.
- Prepare financial reports, summaries, charts, and presentations for Finance Department leadership, City Council, boards, and other stakeholders.
- Assist in the development and monitoring of annual and multi-year municipal budgets.
- Maintain and manage financial data using spreadsheets, databases, and financial ERP systems; ensure accuracy and data integrity.
- Coordinate meetings, schedules, and communications among internal departments, external agencies, consultants, and other partners related to municipal initiatives and contracts.
- Review financial documentation for completeness, compliance, and consistency with policies, procedures, and applicable regulations.
- Support the preparation of materials for public meetings, hearings, and presentations.
- Respond to requests for financial information from departments, leadership, auditors, and the public in a timely and professional manner.
- Assist with special projects, financial analysis, and research as assigned by the Finance Director.
- Maintain organized records and documentation in accordance with records retention and public records requirements.
Education and Experience
- B.S. degree, preferably in Accounting, Finance, or Public Administration
- Two to five years of relevant experience
- Proficiency in Microsoft Office applications, particularly Excel and Word.
- Experience working with financial ERP systems or databases is preferred.
- Principles and practices of public sector budgeting, accounting, and financial reporting.
- Municipal finance operations, including budget preparation, monitoring, and amendments.
- Applicable laws, regulations, policies, and procedures related to public finance, records retention, and transparency.
- Office procedures, recordkeeping practices, and document management standards.
- Analyzing financial and operational data and preparing clear, accurate reports and summaries.
- Using word processing, spreadsheet, database, and financial ERP software (e.g., Excel, financial management systems).
- Creating charts, tables, and presentations for leadership, City Council, boards, and public meetings.
- Organizing work, managing multiple priorities, and meeting deadlines in a fast-paced environment.
- Communicating effectively, both orally and in writing, with internal departments, external agencies, and the public.
- Interpret financial data, identify trends, and explain findings in a clear and understandable manner.
- Maintain accuracy and attention to detail when working with numerical and financial information.
- Handle sensitive and confidential information with discretion and professionalism.
- Work collaboratively with staff at all levels of the organization and with external partners.
- Learn and apply new financial systems, software, policies, and procedures.
- Perform work independently while following established guidelines and direction from supervisors.
- Office setting with occasional attendance at public meetings, including evenings.
- Extended hours may be required during budget preparation, audits, or special projects.
