Position: Office Assistant II #2026-PT17

This position provides advanced clerical and administrative support to Claim Adjusters and the department as a whole. The role is responsible for coordinating wellness-related activities, maintaining confidential records, supporting insurance and billing processes, and assisting with departmental operations, communications, and special events. The position also serves as backup for mailroom functions and ensures efficient daily office operations.

  • Provide advanced clerical and administrative support to Claim Adjusters
  • Coordinate monthly Lunch and Learn sessions and other wellness-related activities
  • Assist with reconciling insurance bills
  • Set up, maintain, and safeguard confidential departmental files and records
  • Perform recordkeeping and data entry functions
  • Order and maintain office supplies
  • Assist with planning and coordinating special events
  • Serve as backup for the Mail Courier, performing mailroom-related duties as needed
  • Create and distribute promotional and informational materials, including newsletters, handouts, payroll stuffers, letters, flyers, and event notifications
  • Receive, screen, and direct incoming calls; provide information to callers as appropriate
  • Answer telephones and type correspondence
  • Copy, scan, and distribute documents
  • Open, sort, and distribute incoming mail
  • Handle confidential and sensitive information in accordance with policy
  • Perform related duties as assigned
Education
  • High school diploma or equivalent required
Experience
  • Experience working in a fast-paced, high-volume office environment
  • Clerical or administrative experience in a claims, insurance, or related office environment preferred
  • Experience supporting workers’ compensation and/or liability claims is desired
  • Experience with document scanning, filing, and payment processing preferred
  • A comparable combination of education, training, and/or experience may be substituted for the minimum qualifications
Key Competencies
  • Ability to coordinate and monitor administrative activities, research and compile data, and prepare reports and correspondence
  • Proficiency in Microsoft Office Suite and ability to work across multiple computer-based claims systems
  • Strong organizational, problem-solving, time-management, and multitasking skills, with the ability to meet deadlines under pressure
  • Strong verbal and written communication skills; ability to work independently and in a team environment
  • Ability to provide excellent customer service and maintain confidentiality of sensitive information
Physical Requirements
  • Physical position involving frequent to light lifting up to 10 pounds and occasional lifting up to 20 pounds
  • Requires climbing, kneeling, crouching, reaching, standing, walking, pushing, and grasping
  • Work is primarily performed in an indoor office environment with a generally quiet noise level
  • Noise level may be moderately loud when operating mailroom equipment
  • Occasional outdoor exposure to all weather conditions when performing mail pickup and delivery

Work Days/Hours :
Monday – Thursday, 7:00 a.m. – 6:00 p.m.; no more than 25 hours per week
