Job Summary

Provides key administrative support to the Department of Family Medicine and the Clinical Medicine faculty by effectively managing course information and schedules, maintaining confidential student information, assisting the department and coordinating facilitation of the curriculum with clinical faculty.

Skills
  • Excellent computer skills. Required to set up document formats in Word, Excel, applications within the Google Workspace ecosystem, and any other software program required by the position. Must be able to format tables in Word and Excel and use intermediate formulas. Must have experience with SharePoint.
  • Excellent verbal and written communication skills.
  • Excellent problem-solving skills and ability to strategize.

  • Ability to interact with administration, faculty, students, Clinicians, and general public.
  • Excellent ability to organize and prioritize heavy, detail-oriented workload in order to meet deadlines.

Required Qualifications Education
  • AA degree and/or combined experience/education as substitute for minimum education.
Experience
  • 4 years of directly related training and experience that provides candidate with the required knowledge, skills and abilities.
Key Responsibilities Classroom support and assessment
  • Assists faculty and Curriculum Coordinators in setting up and facilitating hands‑on events in the Clinical Skills Lab, and other practical learning sessions. Serves as a backup person for other curricular support needs.
  • Coordinates the Clinical Skills Lab Standardized Patient encounters and small group breakout sessions. Proctors and assists with testing accommodations when needed.
  • Coordinates timely posting of lecture materials, Power Points and weekly session materials on Elentra for both the Pomona campus, and as‑needed, COMP - Northwest programs.
  • Handles inventory of simulation and lab equipment; ensures proper maintenance, functionality, and readiness for student use. Manages and maintains supplies for the clinical skills lab patient encounters, facilitator prep sessions, and student educational workshops.
  • Helps gather and organize student and faculty feedback following hands‑on sessions to inform future improvements.
  • Reserves all required lecture halls, classrooms and breakout rooms.
