We’re seeking a detail-oriented and proactive Benefits & State Compliance Specialist to join our team. This role is responsible for the day-to-day administration of employee benefits, leave programs, and multi-state employment compliance. The Benefits & State Compliance Specialist ensures benefits and leave processes are accurate, timely, and employee-friendly while maintaining compliance with federal, state, and local regulations. This role partners closely with HR leadership, brokers, carriers, and internal stakeholders to support a strong employee experience and scalable, compliant HR operations.

Key Responsibilities

  • Administer employee benefits programs (health, dental, vision, life, disability, and related plans), including new hire enrollment, qualifying life events, and terminations, ensuring accuracy and a positive employee experience
  • Serve as the primary point of contact for employee questions related to benefits, leaves, and related policies, escalating complex issues to brokers, carriers, or HR leadership as needed
  • Administer leave programs including FMLA, state-specific paid leave and sick leave programs, and company leave policies, managing the full leave lifecycle from intake through return-to-work
  • Partner with HR leadership on ADA and interactive process cases, including reasonable accommodation requests and documentation
  • Ensure benefits and leave decisions, communications, and records are compliant, timely, and well documented
  • Monitor and support compliance with federal, state, and local employment laws related to benefits, leaves, wage and hour requirements, and required postings across all operating states
  • Assist with implementing new or changing state requirements (e.g., paid leave programs, sick leave laws, state retirement mandates)
  • Support internal audits and reviews related to benefits, leave administration, and personnel records
  • Maintain accurate employee, benefits, and leave records within the HRIS (Rippling preferred), ensuring data integrity and audit readiness
  • Coordinate with benefits brokers and carriers on eligibility, coverage questions, billing discrepancies, and ongoing plan administration
  • Support annual open enrollment, including system setup, testing, employee communications, and post-enrollment audits
  • Use HRIS tools to manage workflows and run routine and ad hoc reports (e.g., benefits enrollment, leave usage, eligibility, headcount by state)
  • Identify and recommend process improvements to streamline benefits, leave, and compliance workflows and improve scalability
  • Assist with creating and maintaining employee-facing materials such as benefit guides, FAQs, announcements, and intranet content
  • Partner with HR and people leaders to ensure consistent application of policies and practices
  • Leverage AI-enabled HR and productivity tools to improve accuracy, efficiency, and consistency across benefits administration, leave tracking, compliance documentation, and reporting workflows

Requirements and Qualifications

Required

  • 2+ years of HR experience with a focus on benefits administration, leave administration, and/or multi-state employment compliance
  • Bachelor's degree, HR certification (PHR, SHRM-CP) or equivalent working experience
  • Working knowledge of core employment laws, including FMLA, ADA, ACA, COBRA, HIPAA, and applicable state leave and sick time laws
