Minimum Qualifications- Has experience using software such as Microsoft Office and Google Office features, in a professional capacity.
- Has relevant office experience.
- Will demonstrate accuracy and proficiency in writing, editing, and data entry.
- Possess leadership qualities and training capability.
- Is an excellent communicator.
- Is detail oriented, with advanced organizational skills and time-management ability.
- Is customer service oriented, and interested in taking ownership of their assigned duties.
- Be able to thrive in an office environment.
- Has some experience working in a health care or mental health inpatient facility.
The Office Specialist II ideally exhibits professional and good judgement within their assigned office at the Utah State Hospital. The ideal candidate can work individually and as a team, performing clerical duties, organizing documentation, and presenting accurate and reliable data. The candidate will also excel in written and verbal communication.
Responsibilities Principal Duties- Prepares and/or processes documents; reviews for accuracy and completeness; updates information and/or evaluates against policy; compares elements for consistency or logical relationships, etc.
- Writes or drafts correspondence, reports, documents and/or other written materials.
- Types and prepares reports or other written materials from source documents, transcription, etc.
- Acts as a resource to provide information or determine the most effective way of meeting the needs of management, staff, clients or customers.
- Verifies data entry by comparing the source document against input data, utilizing automated verification system, using dual entry or other verification technique.
- Maintains and/or creates files or record keeping systems. Sorts, labels, files and retrieves documents, or other materials.
- Is responsible for tracking a facility-wide program.
- Other tasks may include, but are not limited to: performing basic accounting functions such as receiving and recording cash payments, basic bookkeeping, processing payroll, accounts payable/receivable, etc.; maintaining calendars, schedules and coordinating appointments, meetings, training, facilities and other activities; assists in the training of vendors and new employees; ensuring an adequate supply of materials by ordering, receiving, inspecting and storing equipment, merchandise, commodities, materials, and/or supplies.
