The Referral Operations Specialist plays a key role in supporting operational excellence across regions. This role strengthens referral workflows, improves patient access processes, supports specialty service lines (Spravato, TMS), and travels to clinics to provide onsite operational training and workflow reinforcement.
Position OverviewThis position is ideal for someone who thrives in a fast‑paced environment, enjoys building structure, and is energized by helping clinics operate at the highest level.
Key Responsibilities Referral Workflow Support (Primary Function)- Standardize referral processes across assigned clinics to support patient access and scheduling efficiency.
- Train front‑office and referral team members on best practices, documentation standards, and conversion workflows.
- Monitor referral metrics and partner with leadership to identify improvement opportunities.
- Assist in building, deploying, and maintaining workflows for Spravato, TMS, and other specialty service lines.
- Coordinate and support front‑office operational processes including check‑in/out, insurance capture, and workflow adherence.
- Collaborate with clinic leadership to ensure consistency and accountability across multiple sites.
- Maintain efficient communication between providers, insurance companies, and patients to support optimal healthcare delivery.
- Provide onsite support to clinics in Texas and other regions assigned.
- Conduct workflow audits, identify operational gaps, and implement corrective action plans.
- Support the rollout of system‑wide processes that enhance clinic efficiency and patient experience.
- Assist with new service‑line launches and clinic operational readiness.
- Work closely with leadership in admin coordination, documentation, and cross‑departmental communication.
- Support referral and operations teams with basic analytics related to service‑line reimbursement patterns.
- Prepare operational updates, progress reports, workflow materials, and training documentation.
- 3–5 years of experience in healthcare operations, referral management, clinic workflow, or related field.
- Experience in behavioral health, psychiatric settings, or specialty service‑line workflows preferred.
- Familiarity with managed care processes and insurance verification procedures is essential.
- Experience with HIPAA compliance standards is highly desirable.
- Strong communication and training skills; comfortable presenting to clinic leaders and staff.
- Highly organized, proactive, and self‑directed with the ability to manage multiple priorities.
- Able to travel depending on operational needs.
- Proficient in Microsoft Office, EMR systems, and workflow documentation tools.
- Strong attention to detail and problem‑solving skills.
- Excellent organizational and time management abilities.
