- Process daily parts orders accurately and efficiently, including stock replenishment, customer-pay, warranty, urgent/same-day, and specialty orders.
- Verify part numbers, quantities, and order details to ensure accuracy and support efficient repair flow.
- Source parts through alternative vendors or channels when items are unavailable, minimizing service delays and downtime.
- Monitor backorders, track estimated arrival times (ETAs), and follow up on open or delayed orders.
- Communicate order status updates clearly with service advisors, technicians, and internal parts team members.
- Update repair orders in the DMS with accurate part status and ETA information.
- Print and organize daily invoices for review and reconciliation.
- Prepare and distribute daily shipping documentation to the receiving team.
- Assist with shipment tracking and ensure all documentation is accurate to support proper receiving and inventory updates.
- Maintain organized records and provide general administrative support to the Parts Department as needed.

Required Qualifications
- 1+ year in dealership parts, inventory, or warehouse admin (dealer experience preferred)
- Working knowledge of parts processes: receiving, stocking, returns, cores, special orders
- Strong attention to detail and ability to reconcile issues methodically
- Comfortable with computer systems and reports (DMS experience a plus)
- Strong organization, time management, and communication skills
- Strong attention to detail and ability to manage multiple priorities.

- Comfortable using computer systems to order parts, track status, and document updates.
- Reliable, punctual, and team-oriented.
- Experience with dealership DMS (e.g., Tekion, Reynolds, CDK, Dealer track)
- Prior cycle count / audit / inventory control experience
- Basic accounting understanding (credits, invoices, adjustments)
This role has no supervisory responsibilities
WORK ENVIRONMENT:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, printers
PHYSICAL DEMANDS:
- Must be able to lift up to 10 pounds independently; majority of lifting from knee to shoulder heights; other lifting required from various levels
- Requires standing for extended period with frequent stretching, reaching, walking and stooping, pushing and/or pulling in an environment that may be cold, hot, noisy, and wet and may have fumes or odors due to vehicle maintenance
- May requires some driving and typing. Required to have visual acuity to operate motor vehicles
