We are currently seeking an Administrative Assistant Specialist to join our team in Plano, Texas (US-TX), United States (US).
Responsibilities- Coordinating the executives’ daily schedule and deliverables.
- Managing confidential documents with sensitive employee/account/client specific data on behalf of the executive(s).
- Supporting the executive(s) during key meetings including the taking of notes and the follow-up of actions to be performed.
- Organizing key internal and external meetings including preparation and distribution of meeting materials and booking and staging meeting rooms.
- Proactively carrying out administrative tasks in support of the executive(s) including, but not limited to, creation of presentations, creation of reports, correspondence and communications.
- Reviewing outgoing materials and correspondence for internal consistency and conformance with company policies.
- Managing and maintaining documentation for the executive(s) in various locations such as SharePoint and other directories.
- Coordination of special projects and department activities.
- Performing other administrative duties as required.
- Ability to work from our Plano, TX location 30-50% beginning in January.
- Exceptional customer service skills.
- Ability to coordinate with C Suite clients.
- Excellent organization and time management skills.
- Advanced working knowledge of Microsoft Office suite.
- High proficiency in creating PowerPoint presentations.
- Ability to manage calendars within Microsoft Outlook.
- Excellent writing, analytical and problem-solving skills.
- Ability to effectively respond to shifting and changing priorities of a complex nature.
- Previous project management/coordination experience is strongly preferred.
