Who we’re looking forToyota Division in Automotive Operations is looking for a passionate and highly motivated Bilingual Executive Administrative Assistant, Japan Staff.
The primary responsibility of this role is to support Japanese executives by providing administrative assistance.
Reporting to the Group Vice President, Automotive Operations, Product Planning and Strategy Japan Staff, the person in this role will support the division’s objective to provide guidance for business decision‑making with automotive operations.
The successful candidate will have:
- Excellent communication skills.
- Strong organization skills and detail oriented.
This position is based in our North American headquarters in Plano, Texas. The selected candidate will be expected to reside within commutable distance of this location. Relocation assistance isn’t available for this position.
What you’ll be doing- Provide dependable and proactive administrative support to executives including but not limited to ensuring that all operations run smoothly, overseeing departmental project calendar, meeting management, event assistance and written correspondence.
- Scheduling meetings and conferences, including coordination of schedules and logistics, travel arrangements, venue selection and negotiation, material preparation and communications.
- Responsible for high‑quality document creation/editing to support executive briefings and other division meetings.
- Book executive travel, hotel, and related transportation. Arrange, manage, and monitor a busy travel schedule for domestic and overseas meetings. Manage issues and find creative solutions.
- Responsible for timely/accurate submission of travel expenses.
- Ensuring alignment with Japanese and American business protocols.
- Written and verbal fluency in both English and Japanese.
- Executive assistant/administrative assistant experience (experience supporting executives highly preferred).
- Proficiency with Microsoft Office (Excel, Word, PowerPoint, Teams, Outlook).
- Comfortability managing domestic and international travel arrangements and related expenses.
- Ability and willingness to work overtime when needed, including outside of normal business hours.
- Automotive or similar industry experience.
- Experience with office management.
