Overview
Position Summary:
The Executive Administrative Assistant provides administrative support to the C-Suite and other senior executives by handling requests, scheduling meetings, overseeing schedules, preparing correspondence and performing a variety of administrative support functions with professionalism and discretion. This role requires excellent organization skills, critical thinking, attention to detail and the ability to handle confidential information.
This position is only eligible for legal residents of the United States of America.
Responsibilities- Manage executive calendars, travel arrangements, and meeting logistics
- Coordinate cross-functional team schedules and recurring meetings
- Schedule Business Review and Client Deliverable calls
- Organize and coordinate travel, hotel and restaurant reservations, preparing agendas and meeting planning
- Draft internal and external communications
- Prepare, edit and format executive presentations (e.g. All Staff Meetings, Business Reviews, Client Presentations)
- Support marketing and event logistics, including equipment shipments
- Create trend graphs, analyze claims data, and format reports using available tools (Excel, Power BI, myD )
- Coordinate feedback from multiple stakeholders to efficiently create recurring and ad-hoc meetings
- Handle confidential information with integrity and discretion
- Assist with CSO’s client deliverables
- Monitor and prioritize CEO’s email inbox
- Collect, sort, and distribute company mail
- Conduct research, compile data, and prepare documents for review
- Support board meeting preparations, including distribution of agendas and materials
- Manage company subscriptions and licenses (e.g., Encoder, PyCharm, Lucid, WBENC, PI)
- Education:
- High school diploma or GED
- Bachelor’s degree in Business or related field highly preferred
- Experience:
- 4+ years administrative experience required
- 3+ years of strong PC knowledge and skills, including Microsoft Office with a strong focus on Teams and Power Point
- Thrive in fast-paced environments with strong interpersonal and excellent written and verbal communication skills
- Highly organized, detail-oriented, and able to prioritize to meet deadlines
- Proven multitasker with sound judgment, initiative, and problem-solving abilities
- Capable of resolving complex issues independently
- Collaborative team player with a positive and professional demeanor
