Overview

Seeking applicant that is proficient in data entry, customer service and growing vendor relationships. We are a high-level custom pool builder within the Dallas / Fort Worth metroplex. We are constantly adding clientele and seeking better relationship with our vendors and builders. We have a unique data system that is specific to our company. We are seeking an applicant who is willing to learn, grow and assist both our service and new construction departments with scheduling vendors and entering pertinent information to the projects.

Salary will be described at the interview process.

This will primarily be an assistant role for the first year and be subject to change thereafter. Training will be the first 4-6 months depending on growth assessed during this period.

Basic

Job Duties
  • Enter project details = address, client contact information, builder contacts, plaster or completion dates.
  • Answer phone calls and respond to customer inquiries in a professional manner.
  • Communicate schedule changes promptly to customers, technicians and vendors.
  • Manage and document customer feedback or service concerns.
  • Assist with preparing and sending service estimates, invoices, and follow-up communications.
  • Track work orders and ensure completion within scheduled time frames.
  • Assist with incoming and outgoing emails and office correspondence.
  • Communicate consistently and professionally with service technicians and coordinating pool cleaners for work order needs.
Qualifications
  • 1-3 years of experience in administrative, data entry, or scheduling roles (preferably in service or construction industries).
  • Strong computer skills.
  • Excellent communication and organizational skills.
  • Ability to multitask and prioritize in a fast-paced environment.
Preferred
  • Experience in pool industry or other construction field environments.
Working Conditions
  • Office-based with standard business hours 8AM-5PM.
  • Professional, customer-focused environment.
Job Summary

The Administrative Assistant / Data Entry / Scheduler plays a key role in supporting the daily operations of our pool company. This position is responsible for managing schedules, entering and maintaining accurate data, handling customer communications, and providing general customer service support to ensure smooth workflow between office staff, vendors, technicians and clientele.
