Plainview BAS Academic Advisor and Degree Evaluation Specialist

LOCATION: Wayland Baptist University – Plainview

SUPERVISED BY: Director of BAS/BCM Records

POSITION CLASSIFICATION: Non-Exempt

POSITIONS SUPERVISED: None

GENERAL RESPONSIBILITIES
:

The BAS Academic Advisor and Degree Evaluation Specialist reports to the Director of the BAS/BCM Office and is responsible for assigned advising and degree evaluation activities. Additionally, this role represents Wayland positively to all members of the University community and serves as a key liaison for Law Enforcement Recruitment inquiries.

  • Student Advising and Support
  • Advise prospective and current Plainview AAS/BAS students on academic careers through scheduled appointments and walk-in sessions.
  • Provide academic support to current and prospective students via phone, Mongoose, email, and Facebook.
  • Regularly meets with students to review degree progress and graduation requirements.
  • Build strong relationships with students to foster long-term enrollment retention.
  • Academic Planning and Degree Evaluation
  • Create and maintain official degree plans for Plainview AAS/BAS/BCM students.
  • Evaluates transfer credits upon receipt of official documentation.
  • Ensure degree plans and transfer evaluations align with current catalog requirements and accreditation standards.
  • Maintains electronic advising notes and utilizes the student database system for accurate advising and documentation.
  • Event Participation and Assistance
  • Attend Plainview registration events, including some evenings and Saturdays.
  • Processes registration and add/drop requests for AAS/BAS/BCM Plainview students.
  • Attend graduate seminar classes (some evenings) to assist AAS/BAS/BCM graduating students.
  • Law Enforcement Recruitment and Outreach
  • Assist with outreach and advising efforts for the BAS Law Enforcement program in coordination with Admissions and external campuses.
  • Responds promptly to inquiries related to Law Enforcement and related BAS programs using approved templates and communication channels.
  • Provides accurate program information, connects prospective students to appropriate campuses, and ensures consistent follow-up and documentation.
  • Prepares and shares draft degree plans when appropriate to support recruitment conversations and program understanding.
  • Maintains organized records of recruitment, communication and activity in accordance with university procedures.
  • Supports training and collaboration among advisors to ensure consistent processes for Law Enforcement inquiries and referrals.
  • External Campus Collaboration and Recruitment
  • Assist external campus advisors with academic catalog, guidelines, degree plan evaluations, graduation audits, and other AAS/BAS/BCM processes.
  • Serves as liaison for the Law Enforcement Scholarship and BAS degree programs, fielding calls and distributing them to external campuses.
  • Represent the university at college fairs and recruiting events.
  • General Duties
  • Utilize multiple systems and resources effectively while working with students.
  • Perform additional duties as assigned.

MINIMUM QUALIFICATIONS:

Education: Bachelor’s Degree

Experience and Knowledge:

  • Preferably a minimum of two years’ experience in academic advising, curriculum management, or a related field.
  • Understanding of higher education policies, degree requirements, and accreditation standards.

Skills and Abilities:

  • Strong analytical, organizational, and problem-solving skills. Excellent attention to detail. Proficiency in using university software, the Microsoft Suite, and student information systems.
  • Effective written and verbal communication skills. Ability to work collaboratively with diverse stakeholders. The ability to deal fairly and diplomatically with students and their family members, faculty and staff in the university system within the confines of FERPA regulations.
  • Punctuality, dependability, integrity, honesty and loyalty in the performance of duties in the position.
