Summary
The School Business Office Specialist provides administrative and financial support to the school or district business office. This role ensures accurate processing of financial transactions, compliance with district and state regulations, and efficient operation of daily business functions, including budgeting, payroll, purchasing, and recordkeeping. The Business Office Specialist will provide services to all schools in the College Achieve network of campuses via shared services agreements.
Essential Duties and Responsibilities- Process purchase orders, invoices, reimbursements, and payments in accordance with district policies
- Maintain accurate financial records, ledgers, and documentation
- Assist with budget preparation, monitoring, and reporting
- Support payroll functions, including timekeeping verification and employee records
- Process accounts payable and receivable activities
- Maintain student activity fund accounts (if applicable)
- Assist in preparing financial reports for administrators and auditors
- Ensure compliance with state, federal, and district financial regulations
- Respond to inquiries from staff, vendors, parents, and community members
- Maintain confidentiality of financial and personnel information
- Use financial management systems, spreadsheets, and databases effectively
- Provide clerical and administrative support to the Business Administrator
- All other duties as assigned by the School Business Administrator and Head of Schools
- Knowledge of school finance procedures and accounting principles
- Strong organizational and time-management skills
- High attention to detail and accuracy
- Proficiency with Microsoft Office (Excel, Word, Outlook) and financial software
- Ability to interpret policies, regulations, and contracts
- Effective written and verbal communication skills
- Ability to work independently and as part of a team
- Bachelor’s degree in business, accounting, or a related field preferred
- Prior experience in school business administration, accounting, or office management preferred
- Use strength to lift items needed to perform the functions of the job.
- Sit, stand, and walk for required periods of time.
- Speak and hear.
- Use close vision, color vision, peripheral vision, and depth perception along with the ability to focus vision.
- Communicate effectively in English and Spanish (preferred), using proper grammar and vocabulary. American Sign Language or Braille may also be considered as acceptable forms of communication.
- Reach with hands and arms and use hands and fingers to handle objects and operate tools, computers, and/or controls.
- Work in standard office and school building environments.
- Ability to work outdoors during outdoor student activities.
- Exposure to a variety of childhood and adult diseases and illnesses.
- Occasional exposure to a variety of weather conditions.
- Exposure to heated/air‑conditioned and ventilated facilities.
- Exposure to a building in which a variety of chemical substances are used for cleaning, instruction, and/or operation of equipment.
Salary: $70,000‑$85,000 per year. Pay is competitive and commensurate with experience and qualifications. Benefits for full‑time employees include health benefits, paid vacation, personal days, paid holidays, and a retirement plan. All employees will be required to pass background checks.
Annual EvaluationPerformance of this job will be evaluated annually in accordance with NJ State law and the provisions of the board's policy on evaluations.
