Job Description

Title: Assistant Business Administrator / Assistant Board Secretary

Qualifications: Bachelor’s degree with a major in Accounting, Business Finance, or Public School Administration; minimum 3 years of supervisory experience in accounting in a business or public school environment;
Business Administrator Certificate or Letter of Eligibility; alternatives to the above qualifications deemed appropriate by the Board of Trustees.

Performance Responsibilities:

Under the general supervision of the School Business Administrator, assist in managing the Business Services functions of the district, including budget and finance, payroll, purchasing, transportation, food services, technology, safety and risk management, and related areas. Assist in supervising the fiscal operations using standard accounting and bookkeeping principles and procedures in accordance with Board policies, rules and regulations, and applicable laws.

Provide services to all schools in the College Achieve network of campuses.

  • Maintain accurate, up-to-date records of accounts receivable, accounts payable, and the financial position of the school district to ensure operations remain within fiscal year budgets.
  • Assist the Business Administrator in preparing annual budget requests for school district operations.
  • Prepare monthly operating statements, bank reconciliations, quarterly reports, and other requested documents.
  • Assist in preparing for the annual audit of the school district’s finances.
  • Assist in maintaining a system for accurate and complete record‑keeping and reporting for all financial records as required by law.
  • Oversee all school district purchasing, banking activities, payroll and employee benefits programs.
  • Assist in monitoring and managing all safety and risk management policies, procedures and practices to ensure a safe environment for employees and students and to comply with legal requirements (e.g., OSHA, workers’ compensation).
  • Maintain appropriate levels of insurance to protect school district property and potential liabilities.
  • Assist in supervising the school district’s transportation programs, including bus routes, schedules and contracts.
  • Assist in managing the food service operation and related operations.
  • Continue to acquire professional knowledge by attending seminars, workshops, or professional meetings, or by conducting research.
  • Assist in making recommendations regarding salaries and benefits for all school district employees.
  • Represent the school district as necessary in off‑site meetings.
  • Include any other duties assigned by the School Business Administrator.

  • Work in standard office and school building environments; ability to work outdoors during student activities.
  • Use close vision, color vision, peripheral vision, and depth perception with the ability to focus vision.
  • Exposure to a variety of childhood and adult diseases and illnesses; occasional exposure to various weather conditions and to heated/air‑conditioned and ventilated facilities; exposure to building with chemical substances used for cleaning, instruction, and equipment operation.
Compensation, Benefits and Hiring

Salary: $90,000–$102,000.

Benefits include health benefits, paid vacation, personal days, paid holidays, and a retirement plan. All employees will be required to pass background checks.

Annual Evaluation

Performance will be evaluated annually in accordance with New Jersey State law and the board’s policy on evaluations.
