Job Summary

This position is the intermediate level of the Work Management Specialist classification hierarchy. Employees at this level solve more complex problems and the position is responsible for providing technical and analytical support for PGO invoicing. The incumbent works within established processes and standards, uses independent judgment and initiative to complete tasks, and is accountable for providing accurate and timely work results that support safety, reliability, storm restoration, and cost management while providing exceptional customer service.

The role may also provide invoice audit support to multiple managers and is a non‑exempt position.

Responsibilities
  • Provide excellent customer service to internal and external stakeholders.
  • Maintain acceptable availability during normal work schedule and after hours for emergency storm restoration.
  • Take ownership of invoicing issues until resolved, requesting assistance as needed.
  • Facilitate communication between internal and external stakeholders.
  • Monitor reports to ensure process adherence and achieve customer-related goals.
  • Perform research, root cause analysis, and own resolution of invoice-related issues.
  • Offer guidance and assistance on vendor invoice questions and problems.
  • Collaborate with other work groups to achieve desired invoice processing outcomes.
  • Use software applications to prepare correspondence, reports, and presentations.
  • Maintain a professional and courteous approach in all contacts.
Cost Management
  • Process invoices supporting close‑out of construction work orders in the work management system.
  • Verify and apply correct general ledger account accounting.
  • Research and correct invoice exceptions related to accounting, finance, and discrepancies; assist in root cause analysis to resolve issues permanently.
  • Audit, reconcile, and process contractor invoices ensuring documentation matches pay items, contracts are correct, and time and equipment charges match contractor timesheets.
Reliability
  • Prepare for and provide emergency restoration support as needed.

Basic/Required Qualifications
  • High School/GED.
  • One year of related experience for Work Management Specialist II.
  • Two years of related experience for Senior Work Management Specialist.
Additional

Preferred Qualifications
  • Accounts payable experience.
  • Experience in the construction field.
  • Trains vendors on the PGO invoicing process.
  • Troubleshoots the PGO invoice BOT.
  • Responds to vendor questions.
  • Contract administration experience.
  • Working knowledge of Microsoft Office Software.
  • Good judgment in decision making.
  • Effective written and verbal communication skills.
  • Collaboration effectiveness in a team environment.
  • Independent problem resolution skills.
  • Flexibility and dependability during normal schedule and after‑hours emergency storm restoration.
  • Work prioritization skills.
  • Adaptability to changing work environments, processes, and policies.
  • Knowledge of PGO operations processes.
  • Knowledge of Maximo.
  • Previous customer service experience and excellent customer service skills.
  • Critical thinking and independent action with limited supervision.
Working Conditions

Hybrid mobility classification – work will be performed from both remote and onsite locations after the onboarding period. Hybrid employees should live within a reasonable daily commute to a Duke Energy facility.

Travel Requirements

15-25% travel.
