East Coast Refinishing is seeking a highly organized and detail-driven Front Office & Bookkeeping Coordinator to oversee financial accuracy and front office operations within a project-based industrial environment.
This role requires hands-on Quick Books experience, strong reconciliation skills, and comfort working with job costing and construction-style billing. The right candidate will serve as a key administrative and financial support resource to ownership.
ResponsibilitiesFinancial & Bookkeeping
- Full-cycle invoicing and billing through Quick Books
- Manage customer payments, deposits, and progress billing
- Enter and code vendor bills accurately to specific jobs
- Maintain accurate job costing and expense tracking
- Track retainage and project billing schedules
- Perform bank and credit card reconciliations
- Assist with monthly close and financial reporting preparation
- Maintain organized, audit-ready financial records
- Identify discrepancies and resolve accounting inconsistencies
Operational & Front Office Support
- Answer and route incoming project inquiries professionally
- Coordinate scheduling and client intake
- Maintain structured digital and physical record systems
- Monitor and manage office supply inventory
- Support management with administrative reporting and documentation
- 3+ years Quick Books experience (required)
- Experience with job costing or project-based accounting preferred
- Strong understanding of reconciliation processes
- Comfortable working independently with minimal supervision
- High level of accuracy and financial responsibility
- Experience in construction, fabrication, or industrial services preferred
East Coast Refinishing provides metal fabrication, sandblasting, industrial coatings, and fleet refinishing services throughout New England and New York. Operating from a 30,000+ sq ft facility with in-house blasting and coating capabilities, we support commercial, industrial, and municipal clients across the region.
