Key Responsibilities (Essential Duties and Functions):

This list of duties and responsibilities is not all-inclusive and may expand to include other duties and responsibilities based on business need.

* Responsible for fielding management phone calls, emails and faxes.

* Sort & distribute USPS and interoffice mail for McCormack Baron companies.

* Process outgoing mail for McCormack Baron companies.

* Handle Management Dept. filing

* Manage calendars and send meeting requests.

* Prepare itineraries and handle all travel arrangements including flights, hotels, and transportation.

* Prepare, run and manage reports.

* Handle expense reports and invoice allocations.

* Initiate, draft and edit documents.

* Handle and respond to emails as appropriate.

* Prepare meeting materials as needed.

* Manage and organize logistics for internal and external functions, including conferences, trainings, receptions, etc.

* Complete special projects as assigned.

Education/

Experience:

* HS Diploma or GED and minimum of one-year general office experience.

* Customer service oriented.

* Must be proficient in Word, Excel, Outlook, PowerPoint, and Adobe products, specifically Adobe Pro DC and Illustrator.

* Ability to handle multiple tasks.

* Must have good oral and written communication skills.

* Ability to prioritize, coordinate, and maintain follow-up on a number of projects simultaneously.

* Ability to work independently and as a team, exercise good judgement and be resourceful.

* Organization is a key trait in working in the property management environment.

* Must handle highly confidential information in a strictly professional manner.

Work Environment/Physical Demands:

* This job operates in a clerical office setting. This role routinely utilizes standard office equipment such as computers, phone, photocopiers/printers, and filing cabinets.

* This position requires sitting, bending, stooping, or standing as necessary. Our offices are equipped with electronic desks for standing or sitting.
