The IEEE Conference Quality team plays a critical role in safeguarding the integrity and scholarly value of the papers published in the IEEE Digital Library, Xplore. We partner closely with volunteer committees and external vendors to ensure that every conference paper meets IEEE's rigorous quality standards.
We are seeking a detail‑oriented, proactive Conference Quality Administrator to support these essential operations. This temporary role is ideal for someone who thrives in a collaborative environment, enjoys structured processes, and is motivated by the mission of advancing high‑quality academic publishing.
Key Responsibilities
Support Peer Review & Committee Processes
* Prepare comprehensive review packages for volunteer committees.
* Assist in developing and maintaining follow‑up procedures for committee actions and decisions.
Vendor Coordination & Quality Control
* Review, track, and act upon results from external vendors such as Innodata.
* Release proceedings that have successfully passed vendor quality checks.
* Upload and prepare files from the shared drive to the appropriate platforms.
Correspondence & Inquiry Management
* Triage, track, and report on inquiries received through the Conference Quality Zendesk alias.
* Over time, respond directly to inquiries, ensuring timely and accurate communication with internal and external stakeholders.
Reporting & Data Management
* Using input from team members, create management reports summarizing volume, timelines, demographics, and workflow metrics.
* Support the team in distributing reports to Senior Management and other stakeholders.
Initial Tasks
* Create management reporting based on guidance from staff
* Prepare packages for the Technical Program Integrity Committee.."
* Release proceedings that have passed Innodata review.
* Upload files from the shared drive to the platform for Innodata processing.
* Triage, report on, and eventually respond to Zendesk inquiries.
* Create CARC packages and develop follow‑up procedures.

Required Skills and Qualifications:
* Proficiency in Smart Sheets, Excel, Word, Zen Desk, Google Docs, and database systems.
* Strong organizational skills with a keen attention to detail.
* Excellent written and verbal communication skills, including the ability to present information clearly and professionally.
* Ability to work both independently and as part of a team, managing multiple tasks in a fast-paced environment.
* Technologically proficient with a proactive mindset for problem-solving and providing business solution recommendations.
Job Salary:
$31-$34/hr
