We areseekinga highly organized, proactive Office Manager / Operations Coordinator to help keep our firm running smoothly while supporting both our team and our clients.
Position OverviewThe Office Manager / Operations Coordinator is the operational backbone of the firm. This role ensures day-to-day processes run seamlessly, vendors are managed effectively, client requests are handled promptly, and internal systems stay organized and efficient.
This position is ideal for someone who thrives in a fast-paced environment, anticipates needs before they arise, follows through without being asked, and takes pride in keeping everything on track. Success in this role allows advisors to focus on planning and client relationships while the firm operates consistently and professionally.
Key Responsibilities Operations & Office Management- Coordinate incoming calls, emails, and client requests, route and track to completion
- Manage and maintain the firm’s client relationship management platform (CRM)
- Maintain organized workflows, procedures, and internal systems
- Continuously improve and streamline processes for efficiency
- Manage calendars, scheduling, and team coordination
- Order supplies and manage office logistics
- Manage relationships with IT providers, phone, and internet vendors
- Evaluate tools and systems to improve operations
- Negotiate contracts and oversee renewals
- Respond promptly to daily client service needs
- Track open items and ensure timely follow-up and completion
- Support advisors with paperwork, account servicing, and administrative tasks
- Deliver a professional, high-touch client experience
- Handle financial advisor licensing, registrations, and renewals
- Maintain required records and documentation
- Assist with basic compliance tracking
- Manage invoices and expenses
- Prepare monthly profit and loss reports
- Coordinate with external accountant or bookkeeper as needed
Youare:
- Highly organized and detail-oriented
- Proactive, self-directed, and accountable
- Responsive, calm under pressure, and disciplined about follow-up
- Comfortable managing multiple priorities
- Tech-savvy and quick to learn new systems
- Professional and client-service minded
- 3–7+ years of experience in office management, operations, or administrative leadership
- Experience in financial services, wealth management, or professional services preferred
- Experience with bookkeeping and Intuit Quick Books
- Strong communication and problem-solving skills
- Excellent writing skills
- Ability to manage vendors and negotiate contracts
- Proficiency with Microsoft Office and/or Google Workspace
