Key Responsibilities- Support company fleet with administrative duties, including procurement, aftermarket fit-outs, and ongoing maintenance in collaboration with internal partners.
- Assist with onboarding new technicians to all fleet-related systems and ensure compliance with company policies and procedures.
- Administer all fleet platforms, including vehicle registration, tracking safety initiatives, and addressing safety concerns or trends.
- Support vendor relationships and applications, particularly with Enterprise, for vehicle management and technician support.
- Coordinate vehicle acquisition processes: review and approve quotes, maintain purchase timelines, and work closely with finance on approvals and costs.
- Assign and onboard technicians to vehicles, coordinate delivery and pickup, and ensure all onboarding requirements (MVR checks, safety courses, supervisor drive, van inspections, WEX cards, Geotab installation, tool devices) are completed.
- Mitigate parking and HOA issues, and manage geofencing, reporting, and tracking through Geotab or related systems.
- Support ongoing fleet operations by adding new locations/technicians, transferring technicians as needed, and ensuring all driver documentation and safety protocols are maintained.
- Process incident reports in partnership with L&P, ensure all incidents are reported, and handle traffic or registration violations and insurance claims as required.
- Provide support to fleet drivers for maintenance and repairs, ensuring all services go through approved providers and that all vehicles are current on standard maintenance.
- Drive continuous process improvement and development for all aspects of fleet management.
- Physically receive registration, plates, or devices and mail them out to the technicians assigned to the vehicle.
- Strong knowledge of vehicle procurement, aftermarket customization, ongoing maintenance, and fleet operational best practices.
- Proven ability to build productive vendor relationships, oversee contracts, and manage applications (e.g., Enterprise).
- Experienced in coordinating complex vehicle processes such as acquisition, onboarding, assignment, and cross‑department collaboration.
- Skilled in fleet management systems (e.g., registration platforms, Geotab, WEX cards, tool tracking), including administration and troubleshooting.
- Effective at resolving operational challenges (parking, HOA issues, geofencing, incident processing) and maintaining accurate records and documentation.
- Excellent multitasking, prioritization, and communication skills for collaborating with technicians, teams, and vendors.
- Proficiency in Microsoft Office Suite;
Smartsheets a plus. - Strong detail orientation; systematic and thorough approach to problem solving; and good time management, organizational, and record‑keeping skills.

Hourly Pay Range: $32 — $35 USD
