The Arizona Attorney General’s Office State Government Section/Liability Management Section is seeking a Resource Legal Secretary. This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Responsibilities
  • This is a Resource Legal Secretary position and reports to the Unit Chief in the Liability Management Section, Tort Unit. Position provides high-level legal secretary support, independent completion of complex assignments, providing quality written and verbal support to senior attorneys.
  • Prepare a wide variety of timely and accurate legal documents including petitions, briefs, pleadings, motions, preservation letters and memoranda.
  • Responsible for accurate and timely maintenance of legal records/files and case management system.
  • Responsible for accurate and timely completion of docketing, calendaring, filing and appropriate administrative support for civil litigation matters.
  • Appropriate handling of a wide variety of calls, correspondence and visitors.
  • Position will serve as team lead and train new legal support staff, serve as mentor and legal resource for the legal secretaries in the Unit; and provide coverage and backup for other legal secretary and paralegal staff.
Knowledge, Skills & Abilities
  • Knowledge of the Federal and State Rules of Civil Procedure.
  • Knowledge of the policies and procedures of the Attorney General's Office, Civil Division and Liability Management Section with a strong awareness of the other Divisions and Sections of the AGO.
  • Knowledge of the attorney/client relationship, including the need for confidentiality and discretion.
  • Knowledge of technical legal terms and the formats for a wide variety of legal forms and documents, sufficient to complete them from marginal notes, standard paragraphs, verbal/written instructions, and/or similar forms.
  • Knowledge of the sequence of legal actions sufficient to answer a variety of detailed inquiries.
  • Knowledge of State and office procedures, including the acquisition of case-related expenses and current travel policies.
  • Skill in grammar, punctuation, spelling and editing.
  • Skill in the operation of various pieces of office equipment, including personal computer, printer, copier, scanner, fax machine, etc.
  • Skill in transcribing machine dictation.
  • Skill in handling detailed work with accuracy and speed.
  • Skill in performing broad administrative support functions.
  • Skill in monitoring legal requirements and deadlines.
  • Skill in composing a wide variety of complex legal correspondence, contracts, petitions and briefs.
  • Skill in responding to inquiries concerning the progress of legal actions, and in providing information regarding proper procedures.
  • Ability to compose routine correspondence.
  • Ability to handle detailed work with accuracy and speed.
  • Ability to handle a wide range of administrative support functions.
  • Ability to monitor legal requirements and deadlines.
  • Ability to prepare a wide variety of complex legal correspondence, petitions, briefs, motions, pleadings, etc.
  • Ability to efficiently handle a large volume of work, with competing deadlines, following established policies and procedures.
  • Ability to respond to inquiries concerning the progress of legal actions and in providing information regarding proper procedures.
  • Ability to prioritize workload to include timely filing and file organization.
  • Ability to work independently, with minimal supervision.
  • Ability to proficiently use a personal computer, e-mail, the internet, electronic case filing systems as well as electronic case management and document management software.
  • Ability to use word processing programs for quality document production.
  • Ability to respond to inquiries with tact, diplomacy, and appropriate timely information.
  • Ability to engage and train diverse personnel and maintain effective interpersonal communication.
