Summary
This role requires a highly organized and proactive professional who supports attorneys, paralegals, and nurse consultants throughout all phases of the medical litigation process. Responsible for preparing legal documents, coordinating discovery, and ensuring deadlines are met. Responsible for processing and managing medical records documentation requests, updating electronic records systems, and ensuring accuracy and confidentiality of all data and case files. Handles communication with clients, courts, experts, opposing counsel, and co-workers while maintaining strict confidentiality and professionalism.

- Maintain and organize litigation case files, both electronic and physical.
- Draft, proofread, and format legal documents such as pleadings, motions, subpoenas, discovery requests, and correspondence.
- Assist with discovery by organizing documents, preparing production sets, tracking responses, and coordinating with clients and third parties.
- Manage attorney calendars, schedule hearings, depositions, mediations, and client meetings.
- Review paralegal and legal nurse consultant calendars.
- File documents with state and federal courts, including e-filing where required.
- Conduct basic legal research and gather case related information as directed.
- Prepare trial, deposition, and medical records binders, exhibits, witness lists, and other materials for hearings or trial.
- Communicate professionally with clients, court personnel, experts, opposing counsel, and co-workers.
- Track and prioritize deadlines, monitor case progress, and ensure timely completion of tasks.
- Support billing processes by entering time, preparing invoices, and tracking expenses.
- Other duties as assigned.
Minimum Qualifications
Education and
Certifications:
- High School Diploma or equivalent.
- 3 or more years of litigation support or a legal administrative role.
Competencies:
- Strong attention to detail and understanding of medical record workflows.
- Excellent communication and organizational skills and ability to take directions from others.
- Strong understanding of court-specific e-filing systems, rules, and litigation timelines.
- Docketing and deadline-driven calendaring tools
- Ability to manage multiple priorities, meet deadlines, work independently and as a team member.
- Must be organized, proactive, and deadline driven.
- Proficient use of Microsoft Outlook, Word, and Excel functions.
- Ability to navigate and manage documents within the firm’s document management system.
- Basic troubleshooting skills (e.g., formatting issues, scanning, saving, and retrieving files).
The worker is not substantially exposed to adverse environmental conditions (typical office or administrative work).
This is an in-person position (NOT remote).
Physical Requirements- Sedentary Work:
Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. - Repetitive Motion:
