We are seeking a high-integrity, systems-minded Operations Manager to serve as the integrator of the clinic—someone who can translate vision into execution and bring order, clarity, and scalability to a fast-moving healthcare environment.
This role is ideal for a proactive leader who thrives in complexity, understands healthcare operations, and wants real ownership over outcomes.
Position SummaryThe Operations Manager is responsible for overseeing and integrating all non-clinical operations across the clinic, including administration, staffing workflows, systems, vendors, compliance support, and cross-department coordination. This role works directly with the Founder/CEO and is critical in freeing leadership from daily execution so the organization can scale.
Key Responsibilities- Own and improve clinic-wide workflows across admin, clinical support, lab, and patient coordination
- Create, document, and enforce SOPs
- Identify inefficiencies and implement practical solutions
- Manage vendors, inventory, and operational budgets
- Supervise administrative and operational staff
- Clarify roles, responsibilities, and expectations
- Establish KPIs and accountability metrics
- Lead weekly operations check-ins and reporting
- Drive implementation of new services, systems, or process improvements
- Coordinate timelines across departments
- Ensure operational readiness for growth initiatives
- Track operational costs and efficiency metrics
- Assist leadership with forecasting, margin awareness, and resource allocation
- Ensure operational decisions align with clinic sustainability
- Ensure systems support HIPAA, OSHA, and healthcare compliance (not legal counsel)
- Maintain operational documentation and audit readiness
- 3–7+ years in healthcare operations, practice management, or similar role
- Strong systems thinker with proven execution ability
- Comfortable managing people, processes, and priorities simultaneously
- Experience with EHRs, scheduling systems, and healthcare workflows
- Excellent communication, organization, and leadership skills
- High integrity, low ego, solutions-oriented mindset
Bonus (not required):
- Experience in integrative, regenerative, concierge, or cash-pay clinics
