The Worker’s Compensation Coordinator schedules new and existing appointments, completes registration in the practice management system, submits authorizations, and acts as a liaison for patients among adjusters, nurse case managers, employers, and physician teams. This role works with patients, clinical teams, and the business office to prepare the patient for physician, MRI, or Physical Therapy visits. Responsibilities include handling incoming calls, entering basic demographics, email, Social Security, insurance, work comp information, and financial data into the Practice Management System.
The coordinator ensures patient access to the patient portal, sends all forms, and collects completed forms prior to the visit. They strive to meet or exceed patient satisfaction goals.
- Field initial outreach from injured workers or their employers to facilitate services by OAZ.
- Obtain authorization and pre-certification for services as needed.
- Schedule workers’ compensation appointments, follow-up appointments, and coordinate ancillary services.
- Work with employers, insurance adjusters, attorneys, and physician teams to communicate and collaborate on workers’ compensation case issues.
- Manage the workflow of assigned workers’ compensation cases, including telephone and email inquiries from employers, insurance carriers, attorneys, and nurse case managers.
- Enter pertinent data into our computer systems and ensure timely distribution of necessary documentation to the proper party.
- Performs other duties as required by the manager.
- Using state or federally regulated websites may require personal login credentials.
- High school diploma or equivalent is required.
- At least one year of medical office administration or clinical experience is preferred, with demonstrated success understanding Workers' Compensation; orthopedic office experience is a plus.
- Exceptional customer service and patient focus. The coordinator should make each encounter as positive as possible for patients, employers, and other stakeholders in a professional manner.
- Ability to multi-task and operate in a fast-paced environment, handling a high volume of telephonic inquiries and documentation with a high degree of accuracy.
- Knowledge of insurance, particularly workers' compensation and health insurance provisions.
- Knowledge of administrative and clerical procedures, including experience with computer systems. Experience with an EHR such as Mod Med or Athena Centricity is a plus.
- Bachelor's degree in business, healthcare administration, or related discipline.
- 3+ years in the workers’ compensation industry.
