Overview
The Practice Manager directs, coordinates, and manages all operations and related activities of the medical practice, including organizing office operations and procedures, information management, filing systems, mail processing, site opening/closing, supplies requisition, patient flow coordination, and handling patient complaints in a Patient Centered Medical Home model. In a hybrid oncology model, the clinic manager coordinates hospital functions with the appropriate hospital leader and provides indirect supervision and support to staff performing registration, financial counseling, insurance authorization, and insurance verification, in support of responsibilities outlined by their hospital direct manager.
Dutiesand Responsibilities
- Plan, establish, and revise work assignments for personnel reporting to the clinic manager; interview, select, and recommend hiring; initiate changes in classification, salary action, promotion, demotion, transfer, and termination; settle employee problems and administer corrective action; train and evaluate staff; promote effective communication and information flow within the practice; encourage and schedule team-building activities; meet regularly with practice and hospital leadership to maintain open communication and problem solving.
- Manage and oversee daily office operations by routing mail, processing patient payments, maintaining budgets, work/call schedules and calendars; ensure information requests are handled appropriately; collaborate with the hospital to determine procedures and staff work schedules; ensure office space, building needs, and supplies are provided and maintained for medical staff and quality patient care; develop, implement, and improve policies and procedures; ensure appropriate customer service;
address and resolve patient complaints; maintain a high level of confidentiality in a Patient Centered Medical Home model. - Provide indirect supervision and support for non-clinical staff in the clinic, ensuring execution of SOPs that support excellent customer service and patient care; maintain knowledge of non-clinical EMR workflows required for patient registration, payment collections, record management, and system reporting; collaborate with hospital leadership to ensure seamless interface between practice and hospital operations with a focus on standard work that meets federal, state, hospital, and payer requirements.
- Ensure physical safety measures on all forms of payments; perform or delegate daily reconciliation of all payment forms as part of end-of-day processes; ensure accurate and timely deposits; counsel patients on financial responsibilities and respond to questions as needed; communicate with insurance companies regarding contracts; oversee staff in insurance and patient billing duties; verify accuracy of these functions; assist providers with various statistical reports.
- Represent the practice with hospital organizations and in community events; serve as liaison and channel communications between hospitals and physicians.
- Review physician schedules to ensure timely patient appointments.
- Work with credentialing office to ensure physician licensure, privileges, and insurance participation remain current.
- Comply with all AZCCC policies and procedures.
