As a Front Office Professional
, you will serve as the first point of contact for patients and play a critical role in ensuring smooth clinic operations. This position requires strong customer service skills, attention to detail, and experience working in a medical office setting.
- Patient Reception & Communication
- Greet patients and visitors promptly and courteously
- Answer incoming calls and route them to the appropriate staff or department
- Provide accurate information about clinic services, appointment availability, and provider schedules
- Scheduling & Registration
- Schedule, reschedule, and confirm patient appointments in the electronic health record (EHR)
- Verify and update patient demographics and insurance information each visit
- Collect and enter referrals and authorizations information as needed
- Ensure proper scheduling of ENT visits, audiology appointments, and allergy testing
- Check-In & Check-Out
- Prepare daily schedules and review patient charts prior to visits
- Check patients in and out efficiently, ensuring all required forms are completed and signed
- Collect co-pays, outstanding balances, and provide receipts
- Schedule follow‑up appointments
- Insurance & Billing Support
- Verify insurance eligibility and benefits prior to appointments
- Obtain authorizations and referrals when required
- Office Administration
- Maintain cleanliness and organization of the reception and waiting areas
- Assist with scanning and filing documents in the HER
- Support other team members as needed to maintain efficient clinic operations
- Customer Service: responds promptly and courteously to patient needs
- Professionalism: maintains a positive, respectful attitude and appearance
- Dependability: arrives on time and follows through on responsibilities; reliable transportation
- Teamwork: cooperates and communicates effectively with coworkers and providers
- Adaptability: handles changes, interruptions, and high patient volume with composure
- Education:
high school diploma or equivalent required - Excellent verbal and written communication skills
- Strong customer service and interpersonal abilities
- Knowledge of medical terminology, insurance verification, and appointment scheduling
- Proficient in EHR systems
- Ability to multitask and stay organized in a fast‑paced environment
- Prolonged periods of sitting and computer use
- Frequent interaction with patients, staff and external contacts
- Occasional lifting of office supplies up to 20 pounds
- Fast‑paced medical office environment
- Direct interaction with patients, providers, and other clinical staff
