Responsibilities

The Patient Appointment Services Specialist is responsible for independently creating and scheduling appointments within the electronic medical record for a complex, multispecialty medical practice. This includes gathering patient demographic and provider information to accurately assess the nature of the request, determining the appropriate appointment area, advising patients about co‑payments, referral authorizations, or pre‑service deposits, and collecting guarantor and insurance details to assess patient eligibility.

The role requires interacting with patients, customers, referring physicians, Mayo providers, allied health staff, and family members. The specialist must interpret Mayo policies regarding scheduling criteria and medical need, navigate multiple systems simultaneously, and be available to respond to inquiries 80 % of the day. Duties also include managing telephone calls, online requests, and fax requests, maintaining accuracy and thoroughness in all patient‑related activities and electronic communication.

This role requires flexibility, cross‑coverage, and travel as needed. Positions may be eligible for telework based on location after an onsite period of 6 months to 1 year. Hours may vary and overtime may be required.

Qualifications
  • High school diploma/GED and minimum two years of customer‑service experience in an environment requiring multitasking (call center, administrative/physician’s office, appointment scheduler, retail/service industry); or Associate’s Degree.
  • Non‑medical education candidates must complete a Medical Terminology course within six months of employment.
  • Customer‑focused, service‑oriented, with strong verbal and written communication skills, ability to troubleshoot, problem‑solve, balance conflicting demands, make independent decisions, and maintain detailed follow‑through.
  • Ability to work effectively in a fast‑paced team, manage difficult or emotional interactions, stay calm under stress, display empathy, and maintain positive communication.
  • Strong keyboarding and computer skills. Basic understanding of insurance terminology.
  • Mayo Clinic will not sponsor or transfer visas for this position including F1 OPT STEM.
