Location: Phoenix, AZ (Hybrid)

The Accounts Payable at Skin Laundry leader owns the end-to-end AP function and operating strategy, ensuring accurate, timely, and compliant processing of vendor invoices, payments, employee expenses, and corporate cards across a multi-location environment. This role leads day-to-day execution while also driving controls, automation, and process excellence, partnering cross-functionally with Accounting, Operations, Field Leadership, and external vendors to optimize working capital, strengthen internal controls, and elevate the AP function as a scalable, audit-ready operation.

Operational

ownership
  • Own the AP operating model end-to-end: invoice intake, coding, approvals, payment execution, vendor maintenance, reconciliations, and issue resolution.
  • Lead weekly payment runs and cash planning coordination: review proposals, validate funding requirements, and ensure accurate payment execution across methods (ACH, check, wire, virtual card).
Team Leadership
  • Lead, coach, and develop AP staff and/or outsourced partners; set performance expectations, capacity planning, and quality standards.
  • Build scalable coverage plans, SOPs, and training guides to support growth and reduce key-person risk.
  • Controls, compliance, and risk management
  • Design and enforce internal controls (segregation of duties, approval thresholds, vendor onboarding/change controls, fraud prevention checks, duplicate invoice prevention).
  • Maintain audit-ready documentation and serve as AP lead for audits and internal reviews.
Process Improvement and Systems Strategy
  • Own AP technology workflows (Net Suite, , Brex/Amex @Work): optimize configurations, approval routing, exception handling, and integrations.
  • Identify and implement automation opportunities (OCR, vendor portals, rules-based coding, workflow automation) to reduce cycle time and exception rates.
Performance Management & Reporting
  • Own AP KPIs and monthly performance reporting: AP aging health, invoice cycle time, exceptions/disputes, on-time payment %, duplicate rate, and vendor responsiveness.
  • Proactively manage aging/discrepancies; establish root‑cause fixes with cross‑functional partners.
Vendor & Stakeholder Partnership
  • Manage vendor relationships including escalations, term negotiations (where appropriate), contract compliance, and dispute resolution.
  • Serve as primary AP POC for internal teams; create clear SLAs and intake processes to improve responsiveness and reduce rework.
  • Partner with Accounting on month‑end close: accruals, reconciliations, AP‑related GL integrity, and multi‑location cash/clearing accounts.
Retail/Field‑Specific Scope
  • Oversee chargeback/refund workflows from field locations; analyze trends and drive process improvements to improve outcomes and reduce leakage.
  • Manage business license tracking and payments (if staying in AP—otherwise consider moving this to Legal/Corp Ops with AP execution support).
  • Run a strong AP operation + improve processes
  • Owns day‑to‑day AP execution and the team’s throughput/accuracy.
  • Implements defined improvements (automation projects with guidance).
  • Partners with Accounting on close and reconciliations.
  • Manages escalations and maintains controls, but within an existing framework.
Qualifications
  • BA/BS in Accounting/Finance/Business.
  • 3‑5+ years AP.
  • 2+ years leading teams or outsourced AP operations.
  • Experience building controls and audit support.
  • Hands‑on systems ownership in Systems, Brex Experience, and corporate card/expense platforms.
  • Strong Excel + comfort with data analysis; ability to produce KPI reporting and root‑cause insights.
