Job Summary

We are seeking an experienced and highly organized Project Controls Specialist to support our Project Management efforts. This role is critical in managing project documentation, processes, systems, and communications across multiple departments. The ideal candidate will have a strong background in project management, project control systems, and process improvement, with direct industry experience in engineering, architecture, construction or a closely related field.

Requirements

Data Management and System Maintenance:

• Create and maintain standardization for project documents (plans, schedules, reports) across departments.

• Ensure all documentation is accurate, current, and accessible to teams and stakeholders.

• Manage project management systems; perform regular data updates and maintain data integrity.

• Generate standard reports and support automation of reporting processes.

Data Entry & Reporting System

• Input project data into the project management system and generate standard reports and dashboards for project performance tracking.
• Assist in resource allocation and capacity planning by tracking resource availability and utilization.

Process Improvement & SOP Development

• Identify opportunities for improving project workflows, systems, and reporting.
• Develop and implement SOPs and best practices for project management processes.
• Evaluate existing processes, explore automation solutions, and ensure consistent application across teams.
• Facilitate training and support adoption of new tools and processes.
• Other duties reasonably related to the scope of responsibilities may be assigned.

Qualifications:

• Bachelor's degree in engineering management, business administration, project management, or a related field.
• Executive Master of Business Administration, MBA or Master of Project Management preferred
• Possession of recognized project management certifications such as PMP (Project Management Professional), or equivalent.
• Previous experience (5+ years) in project management support or administrative roles in the Engineering, Architecture and/or Construction field.
• Proficiency in project management software and tools (Smartsheet preferred).
