Legal Administrative Assistant Details:
Join Snell & Wilmer, one of the largest and most prestigious law firms in the Western United States, as a Legal Administrative Assistant within in our Labor and Employment Practice Group in our Phoenix office.
In this role, you will be responsible for proofreading, editing, and revising legal documents to ensure accuracy and quality. You will also manage calendars, track docket deadlines, and accurately record attorney time. To succeed in this position, you must be able to efficiently handle the daily demands of supporting multiple attorneys in a fast-paced environment.
The hours are Monday through Friday from 8:30 a.m. to 5:00 p.m.; once fully trained, you may have the option to work remotely one day a week with flexibly to adjust based on business needs.
Position responsibilities include, but are not limited to the following:
- Administrative Support:
- Manage and maintain attorney calendars, including arranging meetings, depositions, and travel.
- Prepare and edit correspondence and presentations.
- Assist attorneys with case preparation, including organizing and maintaining case files, binders, and exhibits.
- Coordinate with clients, witnesses, and experts to arrange interviews, depositions, and other case-related activities.
- Track and manage case deadlines.
- Organize and maintain case files.
- Document Preparation:
- Draft, proofread, and finalize legal documents such as pleadings, motions, discovery requests, and trial briefs.
- Prepare and file documents with the EEOC, NLRB, state agencies, and state and federal courts, ensuring compliance with procedural and e-filing requirements.
- Maintain and update case files, ensuring all documentation is accurately filed and easily accessible.
- Communication:
- Serve as a liaison between attorneys, clients, agency representatives, opposing counsel, and court personnel.
- Prepare and distribute correspondence.
- Court and Filing Procedures:
- Prepare and ensure timely filing of legal documents with the court.
- Monitor and track deadlines to ensure compliance with court rules and procedures.
- At least 3 to 5 years of experience as a legal administrative assistant in a litigation or regulatory practice, preferably supporting employment matters.
- Comprehensive knowledge of Arizona state and federal court procedures, including e-filing; familiarity with EEOC and NLRB administrative procedures is a plus.
- Proficiency in legal terminology, procedures, and documentation.
- Exceptional proofreading and editing skills, with a keen eye for detail in all written communications.
- Proficiency in Microsoft Office applications (Excel, Word, and Outlook) and experience with document management systems.
- Demonstrated ability to work independently and within a team, showing reliability and the capacity to juggle multiple tasks effectively.
- Excellent interpersonal skills to develop and maintain effective working relationships with all levels of staff and clients.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- High level of discretion and confidentiality.
