Position Overview

We are looking for a highly organized and dependable Executive Assistant to support the President of our Architectural Façade Division.

This role plays an important part in helping leadership stay organized, ensuring meetings are well coordinated, and making sure priorities and commitments stay on track. The Executive Assistant helps bring structure and follow-through to daily executive operations while supporting communication and coordination across teams.

This position is ideal for someone who enjoys managing priorities, keeping work organized, and helping important initiatives move forward smoothly.

Responsibilities
  • Manage and prioritize the President's calendar and schedule
  • Coordinate meetings, travel arrangements, and leadership commitments
  • Ensure meetings are organized and properly prepared
  • Track action items and commitments from leadership meetings
  • Maintain a structured log of priorities and deadlines
  • Follow up with team members to ensure tasks and initiatives stay on schedule
  • Prepare meeting agendas and supporting materials
  • Capture meeting notes and summarize key decisions and action items
  • Assist with preparation of leadership updates, dashboards, and reports
  • Support coordination of key initiatives and projects across teams
  • Maintain organized documentation, files, and records
  • Assist with executive communications and correspondence
Qualifications
  • 5+ years of experience supporting senior leaders or executives
  • Strong organizational and time management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • High attention to detail and strong follow-through
  • Professionalism and discretion when working with leadership
  • Proficiency with calendars, spreadsheets, and digital collaboration tools
  • Ability to anticipate needs, stay organized, and solve problems proactively
  • Experience supporting leaders in construction, engineering, or project-based environments is a plus
