The job of Facilities & Construction Property-Inventory Technician is done for the purpose/s of providing support to the educational process with specific responsibilities for maintaining the Facilities and Construction Department's warehouse; dispensing parts and equipment to Facilities and Construction personnel; ensuring required inventory levels; making sure specifications, quantity and quality of orders are correct; verifying stock and identifying losses; maintaining an organized warehouse;
and completing assignments in a timely manner.
This job reports to Facilities Supervisor & Leads person.
Essential Functions- Attends meetings, workshops, etc. for the purpose of conveying and/or gathering information required to perform functions.
- Cleans the warehouse for the purpose of maintaining a safe and sanitary work area.
- Conducts physical inventories for the purpose of verifying stock and identifying losses.
- Maintains an inventory of parts and supplies for the purpose of ensuring item's availability.
- Maintains a variety of manual and electronic files and records (e.g. budget books, purchase orders, inventory lists, etc.) for the purpose of documenting activities and providing reliable information and/or historical reference in accordance with established administrative guidelines.
- Monitors purchases for the purpose of providing up to date information and/or historical reference in accordance with established administrative guidelines.
- Orders equipment and supplies for the purpose of maintaining inventory and ensuring availability of required items.
- Picks up and delivers parts and materials for the purpose of distributing items to assigned locations and/or individuals.
- Prepares written materials (e.g. purchase orders, MSDS Sheet book, etc.) for the purpose of documenting activities and/or conveying information.
- Prepares orders by pulling from stock for the purpose of meeting parts requests in a timely manner.
- Processes work orders, requisitions, documents, deliveries and/or materials for the purpose of disseminating information and/or materials to appropriate parties.
- Receives stock and nonstock items for the purpose of ensuring specifications, quantity and quality of orders are correct.
- Researches special order requests for the purpose of locating a vendor; ensuring acquisitions of the best product; and maximizing the use of funds.
- Researches discrepancies on orders and/or invoices (e.g. overages, shortages, duplicate deliveries, etc.) for the purpose of correcting errors and/or returning damaged/incorrect items to vendors.
- Responds to inquiries from a variety of internal and external services for the purpose of providing information and/or direction regarding the invoices, billing, status of deliveries, etc.
- Schedules maintenance on all forklifts for the purpose of ensuring safe proper working order.
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.
Job Requirements:Minimum Qualifications Skills, Knowledge and Abilities
Skills: required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies include: adhering to safety practices; operating standard office equipment and pertinent software applications; preparing and maintaining accurate records.
Knowledge: required to perform basic math, including calculations using fractions, percents, and/or ratios; understand written procedures, write routine documents, and speak clearly; and solve practical problems. Specific knowledge based competencies: materials handling procedures; inventory techniques; safety practices and procedures.
Abilities: required to schedule activities and/or meetings; gather and/or collate data; consider a number of factors when using equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined and similar processes; operate equipment using standardized methods. Ability is also required to work with a wide diversity of individuals; use a variety of job-related equipment.
Problem solving is required to identify issues and create action plans. Specific ability based competencies include: meeting deadlines and schedules; setting priorities; adapting to changing work priorities; communicating with diverse groups; maintaining a good rapport with employees and community.
