Job Summary:
Berghoff Design Group (BDG) is seeking an experienced, organized, team-oriented individual to join our growing team as an Associate Client Services Coordinator. This role provides administrative, operational, and client service support to ensure efficient office operations and strong communication between staff, field teams, and clients utilizing the BDG Difference. Maintains organized systems, accurate records, and supports daily workflows while contributing to a professional, client-focused environment.
The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced, client-focused environment.
- Provide clerical support to office staff across departments
- Maintain organized filing systems, daily work logs, billing, and invoices
- Enter and track approved AMEX receipts/vender packing slips in systems such as Aspire
- Create and process purchase orders
- Maintain office supplies, forms and apparel inventory
- Keep office workspace clean, organized and presentable
- Handle incoming and outgoing mail
- Answer and direct incoming office phone calls
- Assist with customer communication and service updates
- Support proposal preparation and client documentation
- Answer questions relating to services
- Resolve client concerns and elevate complex issues, as needed
- Maintain positive client relationships
- Update databases and maintain accurate records
- Open and close work orders in internal systems
- Assist with daily field paperwork
- Print and distribute daily work logs
- Match vendor invoices with packing slips and verification
- Support staff with assigned project-based tasks
- Assist with workflow coordination between office and field teams
- 2+ years of experience in administrative or client service roles, preferably in landscaping, construction, or service industries.
- Accounts Receivable is preferred
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Excel and CRM platforms (Aspire experience preferred).
- Ability to manage multiple tasks and prioritize effectively.
- Experience with email marketing tools such as Mail Chimp is a plus.
