About This Position
The Office of Homeless Solutions (OHS) provides support for people experiencing homelessness and is committed to ending homelessness through a comprehensive, regional approach to shelter and heat relief, outreach, supportive and behavioral health services, homelessness prevention, and supportive housing. OHS is seeking creative, solutions-oriented professionals to help make meaningful impact within the homeless services system. OHS currently has a vacancy for a Secretary III.
Responsibilities- Manage the OHS Director and Deputy Director's scheduling/calendars.
- Compile OHS's weekly report to the City Manager's Office.
- Prepare binders for City Council, Formal, Subcommittee, and other public meetings.
- Keep an inventory and order office supplies.
- Manage technology needs such as cell phones, laptops, and desk phones.
- Oversee OHS vehicle inventory and maintenance, including ordering equipment.
- Assist with administrative duties as assigned.
- Ability to multitask and prioritize to effectively support Middle Managers and/or Executives.
- Ability to operate and troubleshoot office equipment.
- Ability to communicate effectively with customers in person, over the phone, and via email.
- Possess strong organization skills.
- Possess strong written and verbal communication skills.
Pay Range: $21.02 to $29.58 per hour.
Hiring Range: $21.02 to $26.83 per hour.

- Proficiency using advanced Microsoft Office functions in Word, Excel, and PowerPoint.
- Experience scheduling meetings or interviews, booking conference rooms, and maintaining an electronic calendaring system.
- Experience providing customer service to internal and external customers.
- Experience maintaining inventory and ordering supplies.
- Experience providing support to staff or volunteers.
- Experience using financial procurement systems, such as SAP/SRM.
- Experience proofreading and editing documents for correct spelling, grammar, and format.
- Experience maintaining paper and electronic filing systems for records, correspondence, and other material.
- Experience prioritizing tasks and projects to meet deadlines.
