Overview
Purpose Statement:
The job of Records Clerk - High School is to provide support to the educational process with responsibilities for preparing, processing and maintaining student records; assisting the Registrar with student enrollment and withdrawal activities; and providing general clerical support.

This job reports to the Assistant Principal.
Essential Functions- Assists Registrar with enrollment and withdrawal activities for the purpose of supporting office functions.
- Attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform functions.
- Maintains a variety of manual and electronic documents, files, and records (e.g. student emergency cards, transcripts, test scores, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Orders and maintains office supplies and equipment for the purpose of ensuring availability as needed. Performs general clerical functions (e.g. copying, faxing, data entry, filing, etc.) for the purpose of supporting office functions.
- Processes requested documents and materials (e.g. student transcripts, etc.) for the purpose of disseminating information in compliance with established administrative guidelines.
- Purges student records in accordance with established guidelines for the purpose of conforming to State and District policies.
- Researches student information (e.g. emergency cards, transcripts, etc.) for the purpose of ensuring current and accurate student data.
- Responds to questions from a variety of individuals (e.g. colleges, students, parents, etc.) for the purpose of providing information and/or directions as may be required.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill-based competencies include operating standard office equipment including pertinent software applications; preparing and maintaining accurate records. - Knowledge
:
Required to perform basic math, read manuals, write documents, and present information. Knowledge of codes, regulations & laws related to student records; business telephone etiquette. - Ability
:
Required to schedule activities; gather and/or collate data; use basic, job-related equipment. Flexibility to work with others in various circumstances; work with data using defined processes; maintain confidentiality; read, write and communicate clearly in English; maintain a good rapport with students, parents, and community. Ability to establish and maintain effective working relationships; meet deadlines; communicate with diverse groups; work with frequent interruptions;
work under minimal supervision.
Responsibilities include:
working under direct supervision using standardized routines; leading, guiding, and/or coordinating others; utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization’s services.
The usual and customary methods of performing the job's functions require physical demands including lifting, carrying, pushing, and/or pulling; stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. The job typically requires 50% sitting, 25% walking, and 25% standing. The work environment is generally hazard-free.
ExperienceJob-related experience is desired.
