Description Purpose and Scope
The parish office receptionist is often the first face and voice for those who arrive at our parish. We are seeking someone who greets each person with warmth, attentiveness, and joyful Christian hospitality, helping all who arrive feel welcomed, respected, and cared for.
Under the direct supervision of the Office Manager, the Receptionist answers and directs all incoming phone calls, serves as the first point of contact to greet and offers hospitality for all visitors and directs them to the appropriate personnel. This person would provide secretarial and clerical support t to the priests of the parish in connection to all parish office operations including the maintenance of parish records.

- Have the ability to see good in others and extend help to those who approach with needs related to the mission of our parish.
- Joyfully and warmly greets and refers visitors to the appropriate ministers or needed services of the parish.
- Maintains the confidentiality of the Office and its documents at all times.
- Maintains calendar for Parish; arranges meetings, conferences, travel, etc.
- Performs secretarial duties for the pastor and for parish office operations.
- Responsible for answering telephones during office hours; prepares correspondence and processes mail.
- Direct an appropriate agency in need who are seeking food, shelter, clothing and travel assistance. Keeps current listing of agencies that provide such services.
- Coordinates information for baptisms, funerals, weddings and registration of new parishioners.
- Maintains sacramental records, notifications and certificates, office record-keeping and filing systems.
- Provides word processing, ensuring accuracy and proofing of final copy in a timely manner.
- Assists with the preparation and translation of the weekly bulletin.
- Provides accurate data entry for parish records, names, addresses, records of baptism, etc. assuring confidentiality as required.
- Coordinates weekly contributions recording as well as getting bank bags ready for Sundays and special collections.
- Reviews and edit all work for accuracy.
- Develops and maintains job task guides for office volunteers.
- Maintains mailing lists for Parish.
- Performs other job-related functions as directed by supervisor, necessary for the smooth flow of operations within the parish.
- Contributes to team effort for a professional office environment and maintain good working relationships will all diocesan and parish staff.
Skills and Abilities
Required
- Possess a sense of ministry and knowledge of church structure and activities.
- Ability to work in a team environment and maintain a good working relationship with parish staff.
- Bilingual in English and Spanish.
- Knowledge of current office methods and procedures including word/data processing, desktop publishing, telephone techniques, and office equipment.
- Knowledge of proper use of English and Spanish language including spelling, grammar and punctuation.
- Working knowledge of computer software including Microsoft Office, Word, Excel, and access and Publisher.
- Ability to work under pressure and manage multiple projects simultaneously.
- Ability to set priorities and organize work effectively.
- High school diploma or equivalent certificate.
- Knowledge of Catholic Church teachings and structures.
- Faithful and actively practicing the Catholic faith and in full communion with the Roman Catholic Church.
