THE POSITION:
We are looking for an Office Manager who is EFFICIENT, DETAIL-ORIENTED, PRO-ACTIVE, AND PRECISE. You enjoy multitasking and can accomplish tasks quickly without sacrificing quality. The Office Manager is responsible for overseeing and optimizing daily office operations to foster productivity and organizational success. This role manages resources, works with vendors, and ensures high-quality service delivery to internal teams and external clients.
You have outstanding people skills with a strong commitment to customer satisfaction.
This position requires a consistent and punctual on-site presence in the office during regular business hours. Occasional after-hours availability is required. This could involve coordination of special events, meeting preparation, or responding to urgent issues during evenings, nights, or weekends.
RESPONSIBILITIES:
Leadership & Team Management
- Lead by example, manage, and retain reception staff.
- Set expectations, delegate tasks, and hold the receptionist accountable for performance and service delivery.
- Facilitate communication between the team and other departments, ensuring information is shared effectively and timely.
Office Operations & Logistics
- Oversee day-to-day office operations to ensure smooth functioning.
- Maintains and ensures the availability of necessary office supplies or equipment by managing stock levels, ordering new supplies, receiving shipments, and managing records of supply use and costs.
- Coordinate venues and catering for meetings and events.
- Monitor and manage office expenses within budget, seeking cost-saving opportunities.
- Manage relationships with office vendors and service providers.
- Evaluate and optimize vendor performance and service contracts.
- Schedule maintenance and repairs for office and building equipment, responding to repair requests to ensure a safe and functional environment.
- Ensure cleanliness, maintenance, and organization of the office by conducting routine inspections and proactively addressing issues as they arise.
Employee Engagement & Culture
- Serve as a member of the Employee Engagement Committee.
- Plan and execute internal events to foster a positive workplace culture and improve employee satisfaction and retention with the organization.
Customer & Team Service
- Ensure all internal and external interactions at the front desk (phone and door) are handled professionally and promptly.
- Act as a service-first representative of the office, supporting all departments with administrative needs.
- Arrange travel by booking flights, hotels and transportation as needed.
QUALIFICATIONS:
- A High School Diploma or GED required
- Fluent in English and Spanish required**
- 3+ years of related experience in a similar position
- Proficiency in using various software applications, including word processing, spreadsheets, presentation tools, and specialized business software, to efficiently perform daily tasks.
- Ability to clearly and effectively convey information, ideas, and instructions both verbally and in writing, ensuring smooth and professional interactions with colleagues, clients, and stakeholders.
- Expertise in prioritizing tasks, managing deadlines, and efficiently organizing work to maximize productivity and meet all commitments in a timely manner.

This position's salary range is $65K to $85K.
