Overview

Our Phoenix office is looking for a Full‑time, in‑office Administrative Assistant to support our department and General Manager, ensuring efficient organizational operations. The role includes general clerical duties, reception tasks, and project‑based work such as office supply purchasing, filing, and coordinating meetings.

Essential Job Functions
  • Greet visitors and direct them appropriately.
  • Answer multiple phone lines professionally and courteously, screen each call, and route it appropriately.
  • Deliver incoming faxes, mail, and/or packages to the appropriate person and process outgoing mail daily.
  • Organize and coordinate meetings, conferences, and travel arrangements as needed.
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails.
  • Perform clerical duties such as typing, filing, and proofreading as required.
  • Maintain and retrieve electronic and hard‑copy documents as needed.
  • Assist with the set‑up, maintenance, and cleanliness of physical exam rooms.
  • Maintain office inventory and place supply orders when needed.
  • Oversee office cleanliness and report any issues or repairs needed to management.
  • Maintain records of company‑issued items such as parking passes and office keys.
  • Help resolve customer concerns and issues, working closely with co‑workers to ensure the highest level of customer service and satisfaction.
  • Promote effective and efficient utilization of office resources and supplies.
  • Support staff in assigned project‑based work.
  • Participate in various educational and/or training activities as required.
  • Perform various duties as assigned.
Qualifications

MINIMUM REQUIRED QUALIFICATIONS

  • High school diploma or equivalent required.
  • A minimum of one year of related experience; or an equivalent combination of training and experience.
  • Experience in a medical office preferred.
