Summary:
The Clinical Services Supervisor will be responsible for supporting the day-to-day operational needs of the outpatient practice including staffing coverage, office and medical supply inventory management, physician room assignments, and provider schedules. This individual is responsible for providing high-quality patient care and maintaining a patient-focused environment. The Clinical Services Supervisor will provide direct oversight to the ancillary staff and support planned and unplanned vacancies to ensure optimal workflow is preserved in the clinic.
In the absence of the Practice/Clinical Manager, the Clinical Services Supervisor may take on additional responsibilities.
Accountabilities:
Operations:
- Supports the Practice and Clinical Manager with the day-to-day operational needs
- Staffing, assuring appropriate coverage, providing backup as needed
- Physician room assignments
- Ongoing Template management, Provider schedules
- Office supplies and medical supplies, maintaining inventory and supply ordering
- Regularly reviewing work processes to ensure the efficiency of workflow, implementing best practices
- Effectively works with Manager to establish, implement, and maintain practice policies, and procedures
- Ensuring compliance with quality and safety, and regulatory requirements
- Support patient transitions (direct admits, procedure scheduling, bed management, and partnership with Penn Transfer System and designated hospital)
- Directly managing the staff
- Responsible for the recruitment and retention of staff
- Ensures new hires are provided adequate training to display competence
- Clearly defines work expectations, and provides real-time feedback
- Assist staff in addressing challenges and skill deficits
- Encourages continuous growth and change management
- Maintain appropriate clinical credentials to fulfill front-line duties as applicable
- Responsible for filling planned and unplanned MA vacancies to ensure optimal patient workflow in the clinic
- Promptly rooms patient, reviews past medical, surgical, family, smoking history, allergies, medications, medication refills, vital signs, referrals, pre-certification
- Observes patient condition and communicates any abnormal data or changes to Provider
- Specimen management, responds to emergency code situations
- Cleans, and disinfects equipment according to protocol
- Where applicable and within the scope of certification/licensure, assist with in-office procedures and patient care
- Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
- Other duties as assigned to support the unit, department, entity, and health system organization
- High School Diploma/GED (Required)
- AND 5+ years outpatient clinic experience required. Relevant education may be considered in lieu of experience
- Associate's degree (Preferred)
- Medical Assistant or Emergency Medical Technician certification (required)
- CPR (Required)
- Demonstrated interpersonal/verbal communication skills
- Ability to utilize critical thinking
- Must be attentive to detail
- Demonstrated organizational skills
- Ability to multi-task
- Experience using EMR systems (clinical and scheduling). Must pass EMR (Schedgistration) course
- Knowledge of third-party billing requirements
- Demonstrated customer service skills
- Demonstrated written communication skills
- Must display flexibility
- Strong communication skills with all stakeholders (Providers, Staff, Patients)
- Ability to use Microsoft Office (Excel, PowerPoint, Word)
