Job Summary:

The Administrative Assistant provides administrative and operational support to FPS Region 3 leadership, including the Regional Director and Deputy Regional Director. This role manages and assigns task requests within the FPS HQ CATT system, coordinates executive travel and schedules in Concur, and supports the preparation and tracking of regional reports. The Administrative Assistant also schedules meetings and conferences, maintains official electronic and hard-copy records, and serves as the Regional FOIA point of contact by tracking requests, managing deadlines, and preparing required responses to Headquarters.

In addition, the position may serve as a team lead for regional administrative contractor staff.

Hourly Rate: $36.15-$37.15 an hour + H&W $5.09 an hour

Location:

Work is to be completed on-site at 520 Walnut Street, Philadelphia, PA 19106.

Responsibilities/Duties:

* Maintain, monitor, and assign task requests to Region 3 personnel from the FPS HQ CATT (official Task Management System) tracking system.

* Prepare and track the travel plans and agenda for the Regional and Deputy Regional Directors in the Concur System.

* Gather and compile data for various reports for review by the RD/DRD and submittal of approved reports.

* Coordination and scheduling of various meetings and conferences by direction from the Regional Director/Deputy Regional Director.

* Maintain both electronic and paper files of all regional documentation signed by both RD and DRD.

* Prepare and track all FOIA requests as the Regional FOIA point of contact to perform intake responsibilities, establish deadlines, and provide specific formatted responses to Headquarters.

* Serve in the role of "team lead" to the task order contractor administrative staff in the region.

Qualifications:

* Ability to effectively communicate in English, both orally and in writing.

* Must be proficient in various types of IT resources such as Microsoft Office Suite products. In addition, the contractor must be adapted into the operation and utilization of contemporary office equipment/machines (i.e. copier, fax machine, scanner, etc.)

* Working knowledge of various Government regulations and directives is highly desired.

* Must be a U.S. citizen and able to obtain and maintain a DHS suitability determination and HSPD-12 PIV card.

* High level of confidentiality and access/trust to sensitive information and documents.

Education/

Certifications:

* A minimum of a high school diploma is required.

* A minimum of one (1) years' experience performing secretarial and administrative duties is required.

* Two (2) years of experience performing clerical and administrative duties is desired.

* At least one (1) year of experience gained through employment with a contractor supporting a DHS component, in particular experience gained through working with FPS, is desired.
