The Operations Specialist plays a vital role in ensuring the seamless operation of our comprehensive medical and social service nonprofit organization. Responsibilities include general administrative support, front office coverage, and facilities oversight. The ideal candidate will excel in a fast‑paced, multi‑faceted environment, demonstrating the ability to work independently and collaboratively while maintaining a strong commitment to service excellence.

Primary Tasks & Responsibilities
  • Provide general office support, including word processing, copying, filing, faxing, data entry, and answering multi‑line phone systems.
  • Greet and assist patients, clients, and visitors both in person and via phone, ensuring a welcoming and professional environment.
  • Utilize the paging system for general announcements and staff coordination.
  • Schedule appointments and assist with front desk coverage as needed.
  • Support reception staff to ensure adequate coverage at all times.
  • Oversee general maintenance and facility upkeep to ensure a safe, clean, and compliant environment for patients, visitors, and staff.
  • Perform basic office sanitary procedures, carpet cleaning, and general maintenance tasks.
  • Manage inventory, conduct supply pick‑ups, and coordinate shipping/receiving.
  • Assist with office moves, furniture setups, and equipment installations.
  • Assist with event planning, including setup and breakdown.
  • Manage specialty print services and mail distribution.
  • Provide fleet management support, including routine care and oversight of company vehicles.
  • Travel between locations as needed to support operational needs.
Education/Professional
  • Prior experience in reception, administration, or general maintenance is preferred but not required.
  • Willing to train the right candidate with a strong work ethic and willingness to learn.
  • Candidates with a background in customer service, office support, or facility management are encouraged to apply.
Knowledge,

Skills and Abilities

Required
  • Proficient in computer skills, including Microsoft Office, with the ability to quickly learn new systems such as electronic medical records.
  • Strong understanding of confidentiality and strict adherence to HIPAA standards.
  • Excellent customer service and communication skills, demonstrating professionalism and diplomacy.
  • Highly flexible and adaptable, able to accommodate changing department needs and multitask effectively.
  • Self‑motivated and dependable, capable of working independently with minimal supervision while maintaining efficiency under pressure.
  • Ability to lift up to 50 lbs. as needed for operational tasks.
  • Demonstrated ability to work effectively in a diverse environment, engaging respectfully with individuals of different races, ethnicities, ages, and sexual orientations.
Requirements
  • Must possess and maintain a valid Florida driver’s license and provide proof of auto insurance as required by state law.
  • Must have reliable access to a functional vehicle for job‑related travel.
  • Must successfully pass fingerprinting and Level II background checks in compliance with Florida law.
  • Employment eligibility verification is required through the U.S. Department of Homeland Security’s E‑Verify system.
