We seek a motivated, proactive, and enthusiastic team player to join our Install Coordination team. The ideal candidate will be detail-oriented, highly organized, and dedicated to providing exceptional service while managing daily scheduling operations efficiently.

About the position

As the Install Coordinator, you will oversee the installation board to ensure jobs are properly prepared and scheduled. This role requires strong multitasking skills, effective communication, and the ability to coordinate multiple jobs and resources simultaneously. You will work closely with the Install Manager(s) and Installation team(s), addressing customer concerns related to installations and scheduling to ensure a smooth workflow and customer satisfaction.

Duties

and Responsibilities
  • Oversee day-to-day scheduling operations, ensuring jobs are efficiently scheduled and ready for installation.
  • Create department install files, contact customers to resolve scheduling issues, and manage inspections.
  • Coordinate communication between installers, managers, customers, and office staff to ensure smooth operations.
  • Manage project and customer scheduling, and issue purchase orders to sales staff for equipment ordering.
  • Oversee installation jobs, ensuring all paperwork and procedures are completed accurately.
  • Handle permits, inspections, Title 24 requests, and rebate processing.
  • Regularly update the Budget Board and manage the Installation Board to optimize field personnel schedules, maximizing productivity by compressing call times.
  • Schedule all installations with the assistance of the Install Manager(s) to maintain maximum efficiency without compromising customer satisfaction.
  • Ensure budget targets are met by efficiently scheduling and closing out jobs.
  • Assist the Install Manager(s) with installation team training, attendance tracking, and scheduling.
  • Perform other work-related duties as assigned.
Administrative Responsibilities
  • Manage install scheduling and the customer database, ensuring all information is complete and up-to-date.
  • Abide by and enforce production training and operating procedures.
Leadership Responsibilities
  • Maintain a professional image at all times

  • Exhibit a courteous and positive demeanor with customers and team members
  • Lead by example and foster a collaborative environment
Key Performance Indicators (KPIs)
  • Schedule installations for maximum productivity, ideally within 24 hours of job acceptance
  • Ensure all contracts are signed, and deposits are collected promptly
  • Maintain accuracy of the Budget Board
Qualifications
  • Minimum 2 years of install coordinating/dispatch experience
  • Proficient computer skills
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Strong problem-solving skills
  • Ability to multitask
  • Spanish speaker is a plus
Compensation
  • $25-$35 hourly, with added performance incentives
