Job Title: Executive Assistant to the Chief of SSESA–PAFR
Location: Perry Area Fire Rescue, Administration Office
- Work Schedule: Full-time, 40 hours per week.
- Vacation & Leave: Paid vacation time in accordance with agency policy.

. - Salary Range: $39,000 – $46,000

The Executive Assistant (EA) to the Chief of SSESA–PAFR provides comprehensive administrative and operational support to ensure the efficient functioning of the Chief’s office. This role oversees key functions including payroll administration, bill payment processing, and preparation for board meetings. The EA serves as a critical communication link between the Chief and internal/external stakeholders.
Key Responsibilities Administrative & Executive Support- Manage and prioritize the Chief’s calendar, meetings, and appointments.
- Serve as the primary point of contact for all communication with and from the Chief’s office.
- Process payroll accurately and on schedule.
- Coordinate with payroll vendor to resolve payroll questions and discrepancies.
- Manage accounts payable, including timely bill payments and maintaining accurate financial records.
- Develop, maintain, and provide information as requested to the SSESA Board Secretary and Board Treasurer.
- Prepare documentation, packets, reports, and presentations.
- Coordinate meeting logistics such as venue setup, technology, and catering.
- Ensure timely distribution of materials to board members.
- Draft, format, and assemble reports, presentations, correspondence, and meeting documents.
- Maintain organized filing and records systems with strict adherence to confidentiality.
- Assist with special projects and initiatives, tracking milestones and providing updates.
- Perform general office duties such as answering phones, responding to emails, distributing department mail, and maintaining office supplies.
- Coordinating department activities including public events and department Christmas party.
- Other as directed by the Emergency Services Chief
- Minimum of 5 years of experience as an executive assistant or similar role, including payroll and financial responsibilities.
- Proficiency in accounting software and Google Suite (Sheets, Docs, Calendar, Meet, Drive, etc.)
- Strong understanding of payroll processes, accounts payable, and financial documentation, including Quick Books.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and integrity in handling sensitive information.
- Ability to work collaboratively with SSESA Board Members, as a representative of the Chief.
- Maintains a culture which reflects the values of the department.
- Strong analytical and problem-solving abilities.
- Associate’s degree or higher in related field. (Combination of education and experience will be considered).
- Familiarity with SSESA–PAFR’s mission, structure, and operational environment.
- Experience in government, public safety, or nonprofit administration, particularly in financial or executive support roles.
- Ability to sit or stand for extended periods while performing administrative and computer-based tasks.
- Ability to lift, carry, and move office materials, files, or equipment weighing up to 25 pounds.
- Sufficient hand-eye coordination to operate computers, office equipment, and communication devices.
- Ability to bend, reach, stoop, and perform general office organization tasks.
- Clear speech and hearing for effective communication in person, by phone, and during meetings.
- Ability to work in a fast-paced public-safety environment that may require occasional extended hours during incidents, emergencies, or critical operational needs.
