We’re looking for a Meeting & Event Program Coordinator to support the planning and execution of high-touch, in-person meetings, conferences, and incentive programs. This role partners closely with a Program Manager and plays a critical role in attendee experience, logistics, vendor coordination, and on-site execution.
What You’ll Do Event & Program Support- Partner with a Program Manager to understand program goals, timelines, and deliverables
- Support the planning and execution of multiple in-person meetings and events
- Assist with agenda coordination, logistics planning, and on‑site preparation
- Build, manage, and maintain event registration sites using Cvent
- Manage attendee communications, confirmations, updates, and reporting
- Support arrival/departure manifests, on‑site registration, and attendee flow
- Assist with hotel rooming lists, housing uploads, and cut‑off management
- Coordinate food & beverage, A/V, transportation, and other logistics
- Liaise with hotels, AV partners, transportation providers, caterers, and other vendors
- Support vendor sourcing and cost‑conscious decision‑making
- Provide on‑site event support including registration, materials, room set‑ups, and troubleshooting
- Support virtual or hybrid components (Zoom, Teams, Webex) as needed
- Help ensure smooth execution and a polished attendee experience
- Assist with invoice tracking, budget reconciliation, and post‑event reporting
- Maintain organized program documentation and timelines
- Support post‑event wrap‑up, attendance tracking, and metrics as needed
- 2+ years of experience coordinating meetings or events (agency or in‑house)
- Hands‑on experience with Cvent preferred
- Strong organizational skills and attention to detail
- Ability to manage multiple projects in a fast‑paced environment
- Calm, solution‑oriented mindset under pressure
- Strong written and verbal communication skills
- Comfortable working remotely with a high level of accountability
- Willingness to provide periodic on‑site support for events
- Virtual meeting platforms (Zoom, Teams, Slack)
- Comfort working with vendors, timelines, and budgets
