The receptionist shall
- Answer incoming phone calls and direct callers to the appropriate person/voicemail. Develop a system for taking messages, referring callers to voicemail, and knowing when people are not available.
- Know and comply with emergency and crisis procedures. Oversee visitor management to ensure building security by maintaining appropriate sign-in procedures.
- Welcome and assist everyone entering the building in a way that reflects a Christ-like attitude.
- Maintain a safe and clean working environment by complying with procedures, rules, and regulations and keeping the Welcome Center and vestibule tidy and free of clutter.
- Be responsive to emails in a timely manner. Keep a copy of the calendar in the Welcome Center to be able to answer questions.
- Become knowledgeable about diverse activities occurring for the school to be able to answer questions as they arise.
- Be familiar with the PCS website and subscribe to principals’ email blasts.
- Maintain bus driver certification process and procedures to ensure the school is in compliance with insurance requirements as well as local and state authorities.
- Oversee bus and minibus keys and bus calendar so that drivers are given keys in a timely manner and keys are returned; ensure non-staff drivers have filled out appropriate forms.
- Receive vendor lunches and give payment; contact secretaries of vendor lunch arrivals and any lunches or other items dropped off by parents.
- At appropriate times, manage the sales of tickets for school events and programs.
- Oversee the maintenance and supplies of school printers and copiers by calling in service requests and toner orders. Affix postage on all outgoing mail.
- Sort and distribute the daily mail as timely as possible.
- Keep building bell schedules, class schedules, shuttle bus schedules, and athletic schedules readily available to answer questions.
- Maintain a list of current answers for “frequently asked questions.” Accuracy in giving information is required at all times.
- Handle small projects or tasks for the Superintendent or Business Manager when requested.
- Develop rapport with students, parents, and staff.
- Support the broader program of the school by attending extra-curricular activities when possible.
- Recognize the need for and contribute to good public relations inside the school family, as well as outside in the community.
- Contribute to team effort by accomplishing related results as needed.
- Attend and participate in scheduled devotionals and staff training.
- Cooperate with the Board and administration in implementing all policies, procedures, and directives governing operation of the school.
- All other duties, as assigned, by the Board, Superintendent, or Business Manager.
