Panhandle Power Solutions (PPS) is seeking a full-time Subcontract Administrator in its Destin, FL headquarters office. The Subcontract Administrator is responsible for the administrative lifecycle of all subcontracts. The Subcontract Administrator is also responsible for drafting, managing, reviewing and documenting PPS’s subcontractor onboarding and compliance functions for the purpose of minimizing exposure to risk while ensuring Subcontractors adhere to various Project compliance activities, including but not limited to certified payroll, lien waivers, insurance, and bonding.

In this key position, the successful candidate must be able to adhere to internal processes with the ability to work in fast‑paced environments and provide organized execution of tasks under time constraints. The ability to manage a diverse workload in changing environments is a must. The Candidate will also have the skill of liaising and building relationships with business unit personnel as well as project teams and subcontractors.

Key Responsibilities
  • Request, document, and review for compliance subcontractor Payment & Performance bond invoices for overhead expenses
  • Document conversations, proposal, scope discussion as it pertains to subcontractors scope of work
  • Draft, coordinate and track subcontract agreements, professional services agreements, and change orders for subcontractors
  • Assemble and track all prime contract flow downs
  • Request, document, and review for compliance certificate of insurance from Subcontractors and service professionals
  • Request, document, and review for compliance lien waivers and releases
  • Document, and review teaming agreements
  • Document, and review Non-Disclosure Agreements
  • Document, and review Pre-Qualifications
  • Document, and review credit applications and vendor terms and conditions
Qualifications
  • 5 years in administrative support or other similar experience with subcontracting
  • Federal contract management experience
  • Procurement/subcontracting experience (Preferred)
  • Thorough understanding of federal contracting, FAR and FAR supplemental regulations
  • Excellent organizational, administrative, and problem-solving skills.
  • Excellent interpersonal, written, and communication skills.
  • Experience using Deltek Costpoint and Procore (Preferred)
