The Operations Manager supports the Executive Director (ED) and helps ensure the day-to-day operations of Always B Smiling run smoothly. This role focuses on coordinating organizational systems, assisting with signature events, and supporting fundraising and donor engagement efforts that help advance our mission. The ideal candidate is organized, proactive, and detail-oriented, with an interest in event coordination, data tracking, and supporting operations in a growing nonprofit environment centered on inclusion, joy, and community impact.

This is a full-time, in-person position based at the Activity and Learning Center. All required clearances must be obtained and maintained as part of employment.

What you will do:
  • Support the Executive Director with day-to-day operations, communications, scheduling, and follow-through.
  • Prepare internal documents, reports, presentations and materials that support organizational operations and fundraising efforts.
  • Maintain organized, accurate, and confidential organizational records and documentation.
  • Oversee office operations, including scheduling, supplies, and vendor coordination.
  • Support the daily functionality of the Activity & Learning Center by ensuring the space is overall operational to support participants, families, and staff.
  • Create, manage, and maintain spreadsheets to track fundraising, events, sponsor ships, budgets, programs, volunteers, and operational metrics.
  • Generate routine reports for leadership and grant reporting.
  • Provide hands‑on support to staff, interns, board members and volunteers as needed.
  • Support fundraising initiatives in collaboration with the Executive Director by helping cultivate relationships, assist with sponsorship and donation requests, and support fundraising campaigns that advance the mission of Always B Smiling.
  • Coordinate the planning and execution of signature fundraising and program events, including B Together Night, Miles for Smiles by managing event timelines, logistics, vendors, sponsorship fulfillment, and day‑of execution.
  • Support post‑event follow‑up, acknowledgments, and reporting.
  • Draft and distribute donor communications, newsletters, and event updates.
  • Recruit and onboard volunteers by managing initial outreach, screening, and completion of required paperwork.
  • Support the ED on strategic initiatives and special projects, amplifying Always B Smiling’s impact in the community.
  • Manage and oversee the organization’s social media presence, including creating, scheduling, and posting content across platforms to support engagement, and organizational visibility.
What you will bring:
  • Minimum of 2 years of experience supporting organizational leadership and managing day‑to‑day operations, preferably in a nonprofit setting.
  • Demonstrated experience coordinating events and managing logistics.
  • Strong organizational and multitasking skills with close attention to detail.
  • Strong understanding of nonprofit operations, fundraising, and community engagement.
  • Excellent written and verbal communication skills.
  • Comfort working in a mission‑driven, inclusive environment.
  • Strong proficiency in Google Workspace and Microsoft Office, with particular strength in Google Sheets and Excel, including formulas, filters, conditional formatting, data validation, and basic reporting or dashboards.
  • Experience using donor management systems, CRMs, or email platforms (e.g., Constant Contact or donor databases) for tracking and communication.
