Position Summary

The Special Events Manager is responsible for planning, organizing, and executing high-impact events that align with the organization’s marketing and brand objectives. This role oversees all aspects of event strategy, marketing and promotion, operational execution, and post-event performance analysis. The Special Events Manager will engage sponsors, partners, community organizers, vendors, volunteers, and internal teams to deliver exceptional experiences that drive engagement, brand visibility, and measurable business outcomes.

Key Responsibilities
  • Design and implement special events that grow attendance and brand visibility.
  • Build upon existing events (e.g., Harvest Season, Backyard Concerts) and develop new concepts that build attendance and awareness.
  • Create event calendars and timelines ensuring alignment with organizational goals.
  • Develop and implement a comprehensive annual event strategy aligned with marketing goals and organizational objectives.
  • Create detailed event plans, timelines, and budgets; ensure events are delivered on time and within budget.
  • Identify opportunities for innovative event concepts and experiential marketing tactics.
  • Secure necessary permits, insurance, and compliance documentation for events.
Marketing & Promotion
  • Develop integrated marketing campaigns for events across digital, print, and social media.
  • Manage event branding, promotional materials, and advertising.
  • Utilize analytics to measure campaign effectiveness and adjust strategies.
  • Collaborate with the marketing team to design and execute promotional campaigns for events across digital, social, and traditional channels.
  • Ensure consistent brand messaging and visual identity in all event materials.
  • Develop sponsorship packages and marketing collateral to attract and retain event partners.
Event Oversight & Operations
  • Lead cross-functional teams through indirect leadership to ensure smooth operations.
  • Manage all logistical aspects of events, including venue selection, vendor negotiations, catering, entertainment, technical requirements, and permitting.
  • Oversee on-site event execution, ensuring seamless operations and exceptional attendee experience.
  • Recruit, train, and supervise volunteers and temporary staff for event support.
  • Maintain strict adherence to all mile-markers and deadlines.
Performance & Reporting
  • Define and track event KPIs, including attendance, engagement, ROI, sponsorship revenue, and customer satisfaction scores.
  • Prepare post-event reports with actionable insights for continuous improvement.
  • Maintain accurate financial records and reconcile event budgets.
Stakeholder Engagement
  • Recruit sponsors, partners, and community organizations for event participation.
  • Cultivate and maintain relationships with sponsors, partners, vendors, and community organizations.
  • Negotiate sponsorship agreements and vendor contracts to maximize value and minimize costs.
  • Serve as the primary liaison between internal teams and external stakeholders to ensure alignment and collaboration.
Required Qualifications
  • Bachelor’s degree in marketing, communications, hospitality, event management, or related field.
  • Minimum 35 years of experience in event planning and management, preferably in a marketing or corporate setting.
  • Proven ability to manage budgets, timelines, and multiple projects simultaneously.
  • Strong negotiation and vendor management skills.
  • Proficiency in computer systems and software such as Microsoft Office Suite.
  • Ability to work evenings and weekends as required by event schedules.
Preferred Skills
  • Experience with sponsorship acquisition and fundraising events.
  • Knowledge of audio visual and technical requirements for live events.
  • Strong understanding of social media and digital marketing strategies.
  • Creative thinker with excellent problem‑solving skills and adaptability in fast‑paced environments.

  • Event attendance and registration conversion rates.
  • Sponsorship revenue and partner retention.
  • ROI and budget adherence.
  • Attendee satisfaction (e.g., Net Promoter Score).
  • Social media engagement and brand reach metrics.
